We’re Hiring: People & Culture Operations Specialist
100% Remote | Full-Time
We are seeking a detail-focused and highly dependable People & Culture Operations Specialist to help manage the operational side of our global HR function.
Working closely with the Head of People & Culture, you will help ensure that employee records, HR systems, payroll-related updates, recruitment coordination, training requirements, leave administration, and other People & Culture activities are handled accurately and on time.
This position is well suited to someone who is comfortable taking ownership of administrative processes, coordinating with employees and managers across different countries and time zones, keeping track of multiple deadlines, and following tasks through to completion.
What You’ll Be Responsible For:
Employee & HR Operations
-Provide day-to-day administrative support to the Head of People & Culture.
-Manage administrative activities throughout the employee journey, from hiring to separation.
-Prepare employment-related documents, including offer letters, promotion letters, salary adjustment letters, employment changes, probation documentation, and other employee correspondence.
-Organize onboarding and offboarding requirements and coordinate with the relevant stakeholders to complete each step.
-Keep employee files and HR documentation complete, accurate, and up to date.
-Record employee changes appropriately across relevant HR and payroll systems.
-Maintain HR calendars, trackers, checklists, and other tools used to monitor recurring activities and deadlines.
-Assist with recurring and annual People & Culture initiatives.
-Handle confidential employee information responsibly and use appropriate discretion.
-BambooHR & HRIS Management
Take ownership of day-to-day BambooHR administration, including:
-Updating employee profiles and employment information.
-Recording new hires, promotions, compensation changes, employee departures, and other lifecycle updates.
-Managing employee leave and time-off records.
-Keeping organizational and reporting information current.
-Supporting workflows, approvals, documentation, and employee records within BambooHR.
-Assisting with the BambooHR Applicant Tracking System and related recruitment activities.
-Preparing and maintaining HR reports.
-Regularly reviewing HR data to identify incomplete, outdated, or incorrect information.
-Assisting employees and managers with routine BambooHR-related questions.
-Looking for ways to make better use of BambooHR and reduce unnecessary manual HR processes.
-Establishing and maintaining clear procedures for HRIS administration.
-BambooHR experience is highly preferred. Candidates who have administered another HRIS may also be considered if they have strong relevant experience and can quickly adapt to new systems.
Payroll Coordination
-Support payroll administration for employees in the United States and United Kingdom by:
-Preparing and reviewing employee updates that affect payroll.
-Coordinating new employee additions and terminations with payroll.
-Processing salary increases, promotions, bonuses, and other compensation updates.
-Checking that leave and employee status changes are properly reflected in payroll.
-Reviewing payroll information for accuracy before processing.
-Maintaining supporting documentation and securing required internal approvals.
-Investigating discrepancies and coordinating necessary corrections.
-Keeping records of payroll changes and their effective dates.
-Working with Finance, payroll providers, and the Head of People & Culture when required.
Previous experience supporting U.S. and/or UK payroll administration is strongly preferred.
-Leave & Time-Off Support
-Handle the administrative coordination of employee leaves of absence.
-Keep leave-related records, documentation, correspondence, and dates accurate within the HRIS.
-Support maternity, parental, medical, and other applicable leave processes.
-Ensure required approvals and documentation are collected and properly maintained.
-Monitor key leave dates and follow up on outstanding requirements.
-Administer company time-off policies through BambooHR.
-Respond to routine employee questions concerning leave and time-off procedures.
-Escalate complex leave, legal, or employee-relations concerns to the Head of People & Culture.
-Apply leave and time-off procedures consistently according to company policies.
Recruitment Coordination
Provide administrative support across the hiring process, including:
-Arranging interviews across different time zones.
-Coordinating candidate availability with hiring teams.
-Keeping candidate information and recruitment activities updated in the ATS.
-Managing candidate communications during the recruitment process.
-Coordinating interview schedules and following up with interviewers.
-Preparing offer documentation and assisting with the candidate-to-employee transition.
-Coordinating pre-employment and onboarding requirements.
-Maintaining recruitment trackers and monitoring candidate progress.
-Supporting the Head of People & Culture and hiring managers with additional recruitment-related activities.
Training & Compliance
-Manage administrative activities within the company’s employee training platform.
-Assign required training to employees.
-Monitor completion of mandatory and role-specific training.
-Follow up on incomplete training requirements.
-Maintain training records and completion reports.
-Assist with implementing new policies, procedures, and required employee acknowledgements.
-Maintain documentation related to policy acknowledgements and other required records.
-Support compliance monitoring and reporting activities.
-People & Culture Support
The People & Culture inbox will be an important part of your day-to-day responsibilities.
You will:
-Monitor incoming employee and manager requests.
-Ensure questions and requests receive timely responses.
-Handle routine HR and policy-related inquiries when appropriate.
-Direct matters to the appropriate People & Culture team member or internal stakeholder.
-Monitor open requests until they are fully resolved.
-Follow up with employees, managers, or stakeholders when additional information or action is needed.
-Recognize urgent, sensitive, or complex matters and escalate them promptly.
-Help provide employees with a professional, responsive, and supportive People & Culture experience.
HR Policies & Compliance
-Become familiar with the company’s employee handbook, HR policies, and internal procedures.
-Support the consistent application of established HR policies.
-Maintain and update HR templates, documentation, procedures, and employee-facing materials.
-Assist with policy rollouts and employee acknowledgement activities.
-Keep current policy and procedure records organized.
-Prior exposure to U.S. and UK employment practices and employment law is preferred.
-Identify matters that require escalation rather than attempting to independently resolve complex legal or employee-relations issues.
Process Improvement & HR Organization
A key focus of this position is helping create a more organized, efficient, consistent, and scalable People & Culture operation.
You will be expected to:
-Evaluate current HR processes and identify areas where efficiency and accuracy can be improved.
-Create and maintain SOPs, checklists, templates, trackers, and other process documentation.
-Establish repeatable approaches for recurring People & Culture activities.
-Identify manual tasks that can be simplified, standardized, or automated.
-Help clarify ownership and deadlines for recurring HR activities.
-Keep electronic employee and departmental records well organized.
-Make HR information easy to find, understand, and hand over when necessary.
-Monitor outstanding actions and ensure they are followed through to completion.
-Assist the Head of People & Culture with ad hoc projects, reporting, audits, and other operational initiatives.
What We’re Looking For
Must-Have Qualifications:
-At least 2 years of professional experience in Human Resources, People Operations, HR Operations, or a related HR function.
-Strong English communication skills, with the ability to clearly communicate HR decisions and information.
-Demonstrated ability to independently manage HR administrative activities such as employee records, documentation, trackers, onboarding/offboarding, training or learning-management platforms, and recurring HR processes.
-Strong working knowledge of Microsoft Office, particularly Excel and Word, including spreadsheets, employee data, reports, trackers, and HR documentation.
-Hands-on experience with an HRIS and Applicant Tracking System (ATS) or employee management system. BambooHR experience is strongly preferred, while comparable HRIS experience may also be considered.
-Excellent attention to HR data accuracy, documentation, organization, and confidentiality, particularly when handling compensation, payroll, leave, and employment information.
-Strong ownership and follow-through, with the ability to prioritize tasks, solve problems, manage multiple deadlines and stakeholders, and work with minimal supervision.
-Experience using recruitment workflows and Applicant Tracking Systems.
-Experience administering an employee training or learning-management platform.
Ability to work comfortably with spreadsheets, electronic employee records, and data reports.
Working Hours: 6:00 PM – 2:00 AM Philippine Time
