About the Role

Taylor Contractors is seeking an experienced Tender & Bid Coordinator to support the preparation and submission of tenders for New Zealand council, government, commercial and infrastructure contracts.
This is not a general VA or administration role.
We are specifically looking for someone with previous experience preparing New Zealand construction, civil, utilities or infrastructure tender submissions.
You will work closely with our Quantity Surveyor, Operations team and Directors to coordinate tender opportunities from initial identification through to final submission.
The Quantity Surveyor will primarily manage estimating, pricing and commercial components. Your responsibility will be to coordinate, prepare, build and quality-check the overall tender submission.
Key Responsibilities
Monitor NZ tender portals, council procurement channels and other relevant sources for suitable opportunities
Review ROI, EOI, RFP and RFT documentation
Download, organise and maintain complete tender documentation
Review tender requirements and prepare submission checklists
Identify mandatory requirements, deadlines, deliverables and evaluation criteria
Coordinate the tender programme from opportunity identification through submission
Prepare and format professional tender responses
Draft and coordinate non-price attributes
Assist with methodology and delivery-plan documentation using information supplied by Operations and technical staff
Prepare company capability and experience sections
Coordinate project case studies and track-record information
Prepare and maintain key-personnel CVs and supporting documentation
Coordinate Health & Safety, environmental, quality and compliance information
Manage tender forms, schedules, appendices and supporting documents
Work alongside the Quantity Surveyor on schedules of prices and commercial information
Liaise with Operations regarding methodology, resources, plant, personnel and programme
Track tender questions, clarifications and addenda
Ensure all tender requirements have been addressed before submission
Proofread and quality-check submissions for accuracy, consistency and professionalism
Package and submit completed tenders before deadlines
Maintain a central tender register showing opportunities, deadlines, status and outcomes
Maintain a structured tender content library for future submissions
Continuously improve Taylor Contractors' tender templates, capability statements and submission systems
Required Experience
Applicants should have:
Previous experience preparing New Zealand tender submissions
Experience within construction, civil infrastructure, utilities, plumbing, drainage, three waters or a related contracting environment
Understanding of NZ procurement and tender terminology
Experience working with ROI/EOI, RFP and RFT processes
Strong experience preparing non-price tender responses
Strong Microsoft Word, Excel and document-formatting skills
Excellent written English
Strong attention to detail
Ability to interpret large tender documents and identify mandatory requirements
Ability to manage multiple deadlines without constant supervision
Experience working remotely with New Zealand or Australian businesses
Experience with NZ councils, government procurement or GETS opportunities will be highly regarded.
Highly Desirable
Experience preparing submissions involving:
Civil construction
Three Waters infrastructure
Watermain renewals
Wastewater and stormwater
Drainage
Plumbing
Hydro excavation
Utilities
Roading and reinstatement
Maintenance contracts
Council panel contracts
Infrastructure maintenance and renewals
Experience with NZ contract environments such as NZS 3910 / NZS 3917 would also be valuable.
How the Role Works
The Tender & Bid Coordinator will not be expected to independently price major contracts.
Responsibilities will generally be divided as follows:
Tender & Bid Coordinator
Tender management → compliance → documentation → non-price attributes → formatting → coordination → submission
Quantity Surveyor
Take-offs → estimating → supplier/subcontractor pricing → schedules of prices → margins → commercial review
Operations / Technical Team
Methodology → programme → resources → plant → personnel → technical delivery information
Directors / Management
Tender strategy → major commercial decisions → final approval
The Tender & Bid Coordinator is responsible for bringing these components together into one complete, compliant and professional submission.

Taylor Contractors can submit more high-quality tenders without creating additional workload for Directors
Tender outcomes and feedback are recorded and used to improve future submissions
Important
Previous New Zealand tender experience is essential.
This position is not suitable for someone looking to learn tendering from scratch.
We are looking for someone who understands how New Zealand contractors tender for work and can demonstrate previous involvement in preparing genuine NZ tender submissions.
