About the Role

Position summary:

We are looking for a project Manager a CRM & Workflow Optimization Specialist to help us improve how work moves through our organization.
This is an ideal opportunity for someone who enjoys solving problems, analyzing data, improving processes, and using technology to make teams more efficient. You will work across departments to understand our workflows, identify bottlenecks, track performance, improve processes, and leverage CRM, automation, Excel, and AI tools to increase operational efficiency.
We are looking for someone who does more than maintain a CRM. We want a process-minded problem solver who can look at the big picture and answer: Where is work getting stuck, why is it happening, and how can we improve it?

Tasks:
Monitor and track workflows from initiation through completion.
Maintain accurate and organized CRM data.
Identify bottlenecks, delays, duplicate work, and process inefficiencies.
Develop and monitor operational KPIs and performance metrics.
Create reports, dashboards, and workflow tracking tools for management.
Analyze data to identify trends, recurring problems, and improvement opportunities.
Work with teams and managers to improve workflows and accountability.
Develop and document Standard Operating Procedures (SOPs).
Identify opportunities for automation and process simplification.
Use CRM automation, Excel, AI, and other technology to improve productivity.
Support the implementation of new workflows, systems, and processes.
Train employees on CRM processes, technology, and workflow procedures.
Communicate findings and recommendations to management.
Monitor the results of process improvements and measure their impact.

The ideal candidate is:
Analytical, organized, and highly detail-oriented.
A strong problem solver who enjoys improving processes.
Comfortable working with data and identifying trends.
Experienced with CRM systems or workflow management platforms.
Strong in Microsoft Excel, including PivotTables, XLOOKUP/VLOOKUP, SUMIFS, filters, and reporting.
Comfortable creating dashboards and tracking KPIs.
Familiar with automation tools such as Microsoft Power Automate or similar platforms.
Interested in using AI and emerging technology to improve business processes.
Able to manage multiple priorities and deadlines.
A strong communicator who can work effectively with employees, managers, and leadership.
Comfortable learning new systems and teaching others.
Able to work independently while also collaborating across departments.

Preferred Qualifications;

2–5+ years of experience in CRM operations, business operations, process improvement, workflow management, project coordination, data analysis, or a related field.
Experience with CRM platforms such as Salesforce, HubSpot, Microsoft Dynamics, Zoho, or similar systems.
Experience developing KPIs, dashboards, operational reports, or workflow tracking systems.
Experience with process mapping, root-cause analysis, and continuous improvement.
Experience implementing automation or improving manual processes.
Experience training employees on technology, systems, or business processes.
Healthcare, medical billing, insurance, staffing, or revenue cycle management experience is a plus.
Bachelor's degree in Business, Operations Management, Information Systems, Data Analytics, Project Management, or a related field is preferred.
