About Us
We are a fast-growing European e-commerce business selling furniture and home décor across 10+ marketplaces including Vente-Unique, Kaufland, ---------- , Cdiscount, Allegro, and others across France, Germany, Belgium, Netherlands, Spain, Italy, Portugal, Austria, Poland, and Luxembourg. We source products from factories in China and ship directly to fulfillment warehouses in Europe. We are expanding aggressively — new SKUs, new marketplaces, and more containers every quarter.
The Role
We are looking for an experienced Supply Chain & Logistics Coordinator to own our end-to-end supply chain operations — from inventory planning and purchase orders through to container booking, customs documentation, inbound warehouse coordination, and ongoing fulfillment center management.
This is a long-term position with growing responsibility. As we expand our product range and marketplace presence, the workload and scope of this role will grow significantly. We are looking for someone who wants to build something with us, not just complete tasks.
You are paid per hour worked — no fixed hours, no idle time pay. You log hours when actively working.

Your Responsibilities
Inventory Planning & Procurement
- Monitor stock levels per SKU across all marketplaces
- Calculate days of stock remaining and flag reorder points before stockout
- Prepare and send purchase orders to the factory
- Track container deposits and payment schedules
- Maintain a clear overview of all open orders and incoming stock
Shipment Coordination
- Book containers with the shipping agent
- Review and verify bill of lading, packing list, and commercial invoice
- Verify HS codes on all shipment documents for customs clearance
- Communicate invoices and documentation to the freight forwarder for import customs clearance
- Track container ETAs and update internal records
Inbound Logistics
- Book unloading slots on Shiptify approximately 4-6 weeks before container arrival
- Monitor ETAs vs booked slots — proactively rebook and replan when delays occur
- Communicate with the fulfillment warehouse to coordinate arrival and inbound processing
- Coordinate with the freight forwarder for final delivery to the warehouse
- Create inbound shipments in our WMS (Hubble) ahead of container arrival
Fulfillment Center Management
- Manage ongoing communication with the fulfillment center through their ticketing system
- Attend monthly performance calls with the fulfillment center to review issues and improvements
- Track KPIs including unloading times, waiting hours, and inbound processing times to avoid unnecessary costs
- Investigate and reconcile stock discrepancies between Hubble and marketplace inventory levels
New Product Onboarding
- Set up new SKUs in Hubble when launching new products
- Coordinate barcodes, SKU labels, and shipping marks with the factory ahead of production
Quality Control & Product Feedback
- Review customer service damage and defect reports flagged by the CS team
- Identify recurring quality issues and communicate findings to the factory
- Review pre-shipment inspection reports and flag non-conformities
- Verify barcodes, SKUs, and shipping marks against purchase orders before shipment
- Follow up with factory on corrective actions and track resolution
- Maintain a log of quality issues per SKU to identify patterns over time

Requirements
- Minimum 3 years experience in freight forwarding, logistics coordination, or supply chain management — required
- Solid knowledge of international shipping: bill of lading, packing lists, commercial invoices, HS codes, customs clearance documentation — required
- Experience with inventory planning and purchase order management — required
- Comfortable working with Chinese factories and European freight forwarders
- Experience with furniture, large item, or bulky goods logistics is a strong advantage — handling oversized shipments, multi-box deliveries, and heavy item fulfillment has its own complexity
- Experience with WMS or fulfillment systems is a strong advantage — familiarity with Hubble or similar warehouse management systems preferred
- Experience with Shiptify or similar slot booking platforms is a plus
- Detail-oriented — errors in shipping documents cause customs delays and warehouse rejections
- Proactive communicator — you flag problems before they become crises
- Reliable internet connection
- Available during EU business hours for time-sensitive communications
