Executive & Personal Assistant

Location: Remote
Type: Full-Time
Compensation: $2,000 USD/month
Schedule: Must have strong overlap with EST business hours

About the Role

We’re looking for a highly organized, resourceful Executive & Personal Assistant to support the CEO of Blunt Cases.

This is not a traditional administrative role where you’ll simply be given a checklist of repetitive tasks. We’re looking for someone who can take ownership of the day-to-day details that come with running a fast-growing company and a busy schedule.

You’ll help manage everything from calendars, travel, appointments, and personal logistics to vendor follow-ups, research, documentation, recruiting coordination, and miscellaneous business administration.

The right person is proactive, persistent, discreet, and exceptionally good at figuring things out. You should be comfortable receiving a request like “Can you handle this?” and independently determining the steps needed to get it done.

What You’ll Own

Executive & Calendar Support

  • Manage and organize the CEO’s calendar
  • Schedule, reschedule, and coordinate meetings
  • Protect focus time and help prioritize scheduling requests
  • Coordinate interviews, vendor meetings, internal calls, and external appointments
  • Make sure meeting links, documents, addresses, and relevant information are organized ahead of time
  • Maintain reminders for important deadlines, renewals, appointments, and follow-ups
  • Help maintain an organized running list of outstanding priorities and tasks

Travel & Reservations

  • Research and book flights, hotels, transportation, and other travel
  • Manage itineraries, confirmations, seat selections, check-ins, and reservation details
  • Make restaurant and event reservations
  • Coordinate travel changes, cancellations, refunds, and credits when necessary
  • Create organized itineraries containing everything needed for a trip

Business Administration

  • Follow up with vendors, suppliers, agencies, contractors, and other partners
  • Track outstanding requests and make sure nothing falls through the cracks
  • Request invoices, receipts, contracts, W-9s, insurance certificates, licenses, and other documentation
  • Organize business documents, contracts, invoices, and records
  • Help track invoices, payments, renewals, subscriptions, and recurring expenses
  • Contact software companies, service providers, shipping carriers, banks, or other businesses to resolve administrative issues
  • Maintain trackers and spreadsheets as needed
  • Pull basic reports or exports from company platforms
  • Organize information and research before decisions or meetings
  • Assist with basic vendor sourcing and quote collection
  • Track deliveries, samples, shipments, and other outstanding business items
  • Help coordinate office, studio, and company logistics

Recruiting & Team Administration

  • Coordinate candidate interviews and scheduling
  • Send questionnaires, interview information, and follow-ups
  • Maintain candidate trackers
  • Assist with contractor and employee onboarding logistics
  • Organize agreements, onboarding documents, and account-access requests
  • Keep track of important contractor information, start dates, and documentation

Personal & Life Administration

  • Book and manage appointments
  • Handle personal reservations and scheduling
  • Communicate with service providers on the CEO’s behalf
  • Make phone calls to resolve account, billing, reservation, or service issues
  • Coordinate returns, exchanges, refunds, deliveries, and appointments
  • Research and purchase products or services when requested
  • Help coordinate household, apartment, wedding, and other personal logistics
  • Handle miscellaneous life-admin tasks that would otherwise take time away from the CEO

What We’re Looking For

2–4 years of previous experience as an Executive Assistant, Personal Assistant, or in a similar high-trust administrative support role. Experience directly supporting a founder, executive, or business owner strongly preferred.

  • Excellent written and spoken English
  • Strong phone communication skills and confidence speaking with US-based companies
  • Extremely organized and detail-oriented
  • Strong follow-through and persistence
  • Resourceful and comfortable figuring things out independently
  • Able to manage multiple open tasks without losing track of them
  • Good judgment and ability to understand when something requires escalation
  • Comfortable working in a fast-moving environment where priorities can change quickly
  • High level of discretion and professionalism
  • Tech-savvy and comfortable learning new software
  • Strong research and problem-solving skills
  • Able to communicate clearly and concisely
  • Proactive rather than waiting to be told every next step

What Success Looks Like

You make the CEO’s life easier.

You keep track of the small things before they become big things. You follow up without being reminded. You know what is still outstanding, who owes us an answer, what deadline is approaching, and what needs attention.

When given a problem, your instinct is to investigate it, make the calls, send the email s, and come back with a solution.

Over time, the goal is for the CEO to be able to send you a message saying, “Can you handle this?” and trust that it will be handled from start to finish.
