About the Role

We are seeking a highly organized, tech-savvy, personable, and proactive Executive Virtual Assistant & Community Coordinator to support a growing portfolio of coaching, personal development, community, and event-based brands.

This is a virtual, hands-on position for someone who is comfortable working with technology, communicating with clients and members, managing digital content, and helping keep multiple projects organized.

You do not need to know every platform perfectly on Day One. Training will be provided for our specific systems and processes. However, applicants should already be comfortable learning and navigating technology independently.

This is not a position for someone who needs extensive instruction for every task. We are looking for someone who can learn our systems, follow established processes, communicate effectively, and eventually take ownership of their responsibilities.

Primary Responsibilities
Executive & Administrative Support

Responsibilities may include:

Managing and updating calendars
Scheduling meetings and appointments
Creating and managing Zoom meetings
Ensuring calendar appointments contain the appropriate Zoom links and information
Managing Calendly scheduling
Organizing Google Drive and Dropbox files
Maintaining Google Sheets, Google Docs, and other internal documents
Following up with clients regarding appointments, deliverables, or outstanding action items
Communicating professionally with clients by phone and email
Helping maintain organized records of clients, members, prospects, and projects
Content & Social Media

The founder produces the majority of the original long-form written and video content. Your responsibility will be helping transform, organize, schedule, publish, and recycle that content.

Responsibilities may include:

Taking provided long-form content and placing it into established Canva templates
Creating memes, quote graphics, and carousel posts using existing brand templates
Scheduling social media content
Publishing approximately 2–3 pieces of content per day
Scheduling pre-recorded Reels and video content
Maintaining an organized content library
Recycling evergreen Reels, posts, graphics, and other content on an established rotation
Monitoring previously published content that can be repurposed
Engaging with followers and community members
Following up with potential leads through social media
Learning the founder's communication style, language, tone, and brand voice
Ensuring content remains consistent across platforms

You will not be expected to constantly create original ideas from scratch. A significant portion of this role involves taking existing content and making sure it is consistently distributed and repurposed.

Outreach & Business Development Support

This role will also help support the growth of our brands and programs.

Responsibilities may include:

Researching potential organizations and partnership opportunities
Conducting professional outreach by email and/or phone
Reaching out to schools, companies, organizations, and community partners
Identifying potential speaking, sponsorship, partnership, and client opportunities
Following up with prospective partners
Scheduling introductory meetings
Maintaining an organized outreach and follow-up system
Updating lead and partnership information
Following up consistently until a clear next step is established
Technology Requirements

Applicants should already have a working familiarity with several of the following:

Zoom
Calendly or similar scheduling software
Canva
Google Drive
Google Docs
Google Sheets
Google Calendar
Dropbox
Instagram

Facebook and other major social media platforms
Social media scheduling tools

Again, mastery of every platform is not required. However, you should consider yourself technologically capable and confident in learning new software.
