Job Overview
We are seeking an organized, process-driven Physician Licensing & Onboarding Specialist to lead state medical licensing, license maintenance, and onboarding for our Rounding and Collaborating Physicians. In this role, your primary mission is to manage end-to-end state medical board applications, expedite multi-state licensing, and track active license renewals across target states. You will serve as the core liaison for our medical staff, ensuring full regulatory compliance, active state licensure, and seamless credentialing for rapid deployment into partner Skilled Nursing Facilities (SNFs). This role will also play a role in payer credentialing with the new provides.
Key Responsibilities:
- State Licensure & Multi-State Applications (Primary Focus): Direct end-to-end processing of state medical board applications for newly hired and existing physicians across target states; manage applications via state portals, FCVS, and the Interstate Medical Licensure Compact (IMLC).
- Proactive License Renewals & Expiration Tracking: Monitor state license expiration timelines, state-specific Continuing Medical Education (CME) requirements, DEA registrations, and state controlled-substance permits to execute timely renewals and avoid operational downtime.
- Document Collection & Primary Source Verification: Gather, audit, and verify medical credentials, transcripts, background checks, malpractice coverage, and compliance records for Rounding and Collaborating Physicians.
- Collaborative Practice Agreement (CPA) Management: Execute and track state-compliant Collaborative Practice Agreements between Collaborating Physicians and Advanced Practice Providers (APPs) or facility rounding teams across SNF sites.
- Facility and Payer Credentialing & Physician Placement: Align verified state credentials, practice scopes, and active board privileges to match physician assignments with specific SNF facility standards. Familiar with payer credentialing for providers.
- Provider Onboarding & Administrative Support: Guide incoming physicians through operational onboarding, answering questions regarding state board requirements, facility placements, and administrative paperwork.
Qualifications & Requirements:
- Experience: 2+ years of hands-on experience in physician state licensing, medical board application management, or healthcare credentialing.
- Licensing Knowledge: Deep familiarity with state medical board regulations, multi-state licensure processes (including IMLC and FCVS), CME compliance, and license renewal cycles across multiple jurisdictions.
- Industry Context: Experience handling physician workflows within Skilled Nursing Facilities (SNFs), post-acute settings, or telemedicine systems preferred.
- Technical Skills: Proficiency with credentialing databases (e.g., Modio, Cactus, Council for Affordable Quality healthcare/CAQH), state portal systems, and Google Workspace/MS Office suite.
- Compliance & Detail: Exceptional attention to detail with proven ability to maintain strict HIPAA compliance when handling sensitive practitioner records.
