About the Role
We are looking for a resourceful, technically capable, and proactive IT & Systems Manager to build, configure, maintain, troubleshoot, and improve systems across multiple businesses and projects.
This is a hands-on role covering GoHighLevel and similar platforms, websites and pages, accounts and sub-accounts, forms, calendars, email , workflows, custom fields, webhooks, integrations, automations, communities, funnels, video editing, presentations, and other technical systems as needed.
You do not need to be an expert in every area. We care most about technical aptitude, ownership, independent problem-solving, attention to detail, user experience, and the ability to learn quickly.
Your main responsibility is simple: make sure our technical systems and assets work correctly and create a good experience for the people using them.
Responsibilities
You may be responsible for:
Building, configuring, maintaining, and troubleshooting technical systems across multiple businesses, communities, creators, campaigns, and projects.
Creating and updating websites, landing pages, funnels, community pages, and other digital assets, including content, forms, calendars, links, images, and related components.
Configuring GoHighLevel and similar platforms, including accounts and sub-accounts, email , custom fields, workflows, pipelines, forms, calendars, domains, permissions, webhooks, integrations, and automations.
Making sure pages, forms, calendars, email , automations, domains, accounts, and other components are connected to the correct systems and configured properly.
Testing complete user flows and identifying broken links, incorrect configurations, missing steps, poor mobile experiences, or other problems before users encounter them.
Connecting systems through native integrations, Zapier, Make, APIs, webhooks, and similar tools.
Creating, editing, and correcting videos when needed, including presentation videos, intros, effects, animations, transitions, audio, screen recordings, and basic production work.
Preparing and testing technical systems and assets for launches, campaigns, webinars, communities, creators, presentations, and other initiatives.
Maintaining organized accounts, access, naming conventions, documentation, templates, and basic SOPs.
How We Work
Take ownership of your work through completion. Communicate progress without waiting to be asked, raise meaningful issues early, test your own work, and proactively identify and address problems rather than waiting for every task to be assigned.
Independent thinking and resourcefulness are essential. When you encounter something you do not know, use AI extensively to research, diagnose, and solve the problem. Also use documentation, tutorials, knowledge bases, internet research, community resources, and software-company support. If specialized help is ultimately required, identify the right resource while continuing to own the issue through resolution.
When disagreeing, do it productively. Proactively investigate before challenging, while escalating immediately if even reasonable investigation could create material harm or serious risk. Otherwise, make reasonable progress and validate concerns with facts before raising them. When raising a concern, bring what you learned and, whenever possible, a recommended solution, practical options, or clear next step.
Be settled, connected, and ready before meetings. Follow through on commitments, communicate when something is delayed or blocked, and correct mistakes quickly when they happen.
Think from the user's perspective. Technical correctness matters, but so do clarity, usability, consistency, and the complete experience of the person using what you build.
We do not expect perfection or that you will know everything. We do expect independent problem-solving, proactive action, communication, accountability, and follow-through.
What We're Looking For
You should have:
Strong written English and communication skills.
Reliable internet and the ability to work consistently and independently.
Strong attention to detail, organization, and technical aptitude.
The ability to encounter unfamiliar technical problems and independently work toward solutions.
A genuine passion for technology and especially AI.
A habit of staying current with new AI tools, capabilities, and trends, particularly how AI is changing technology, marketing, and business.
Natural curiosity about new tools and the ability to identify practical ways they can improve systems, automation, marketing, content, and user experience.
Experience with some of the following is helpful, but you do not need to know everything:
GoHighLevel, Votel, WordPress, websites and funnels, CRM systems, forms and calendars, email configuration, workflows, custom fields, APIs, webhooks, Zapier, Make, domains and DNS, integrations, communities, marketing automation, CapCut, Descript, DaVinci Resolve, Canva, Adobe Premiere, ChatGPT, Claude, Gemini, and similar platforms.
Do not skip applying because you do not check every box. We would rather hire someone capable, dependable, curious, and resourceful who knows how to figure things out than someone who claims to know everything.
What Success Looks Like
When you are assigned something, you think beyond the individual task and consider the complete system and user experience.
If you build a page, for example, you make sure it is in the correct account, contains the right content, has working links, connects to the correct form or calendar, sends information where it should go, works on desktop and mobile, makes sense to the user, and has been tested before you call it complete.
When you encounter something unfamiliar, you research it, use AI and available support resources, test potential solutions, and keep moving. You look ahead for problems and opportunities rather than waiting for someone else to identify every next step.
Working Relationship
This is intended to be a long-term working relationship for the right person. We hire on a month-to-month basis, with the expectation that the first month gives both parties an opportunity to establish a strong working rhythm and determine whether continuing together makes sense.
We are looking for someone who wants to become a reliable, long-term part of the team, not someone looking for a short-term project or a few days of work.
This is a freelance/independent contractor role. Continued work depends on performance, reliability, communication, business needs, and mutual fit.
