About the Role

Job Summary
We are seeking a detail-oriented and dependable Administrative Assistant to support daily administrative operations. This role will assist with order approvals, employee timecard management, collections communication, and general office support. The ideal candidate is organized, responsive, and comfortable communicating with both employees and clients.

Key Responsibilities
Review and assist with approving orders in a timely and accurate manner.
Assist with collecting employee timecards on a weekly basis and ensure all hours are submitted accurately and on time.
Assist employees with timecard questions, issues, and corrections.
Help employees navigate the timekeeping system and walk them through the process of submitting their hours when needed.
Input employee hours into the system when necessary and ensure information is entered accurately.
Follow up with employees regarding missing, incomplete, or incorrect timecards.
Send weekly collections email s and follow up on outstanding balances as needed.
Answer incoming phone calls and assist callers with questions or direct them to the appropriate person.
Monitor missed calls and follow up promptly to ensure all inquiries are addressed.
Maintain organized records and assist with general administrative tasks as needed.
Communicate professionally and effectively with employees, clients, and internal team members.
Provide additional administrative support to the team as needed.
Qualifications
Previous administrative or office experience preferred.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Strong attention to detail and accuracy.
Comfortable communicating with employees and clients by phone and email .
Ability to manage multiple tasks and prioritize responsibilities in a fast-paced environment.
Basic computer skills and ability to learn new software and systems quickly.
Professional, dependable, and team-oriented attitude.
Ideal Candidate
The ideal candidate is someone who is proactive, organized, and comfortable following up with people to ensure tasks are completed. They should be patient and helpful when assisting employees with timecard issues and confident communicating with clients regarding administrative and collections matters.
