Ecommerce Operations Assistant (Shopify / TikTok Shop)

The company
A profitable, growing US-based specialty Tea Subscription ecommerce brand (~15% YoY, 130K+ lifetime orders) selling through Shopify, TikTok Shop, and a subscription program, with international warehouses in the US, Canada, UK, and EU. The store operations side of the business is run by one teammate who is moving to a technical lead role, you'll be his right hand.

The role
You take the store operational work off the Technical Lead's plate so he can build. This is execution, monitoring, and data maintenance work, done reliably and precisely. You are not making purchasing decisions or writing code. You ARE the person who makes sure listings are right, inventory data is current, orders are tracked, and nothing falls through the cracks.
This role is also a growth path: the brand runs custom-built software and an AI agent for inventory intelligence. Start with the basics done flawlessly, and you'll be trained into the more complex systems.

What you'll do

Product listings and administration (Shopify + TikTok Shop)
-Create draft product listings from provided info: photos, videos, descriptions, SKUs, tags, collections, pricing
-Keep Shopify and TikTok Shop listings matched and in sync
-Audit listings for missing images, broken info, wrong tags; prep new listings for final review
-Handle backend product work: tagging, pricing updates, bundle linking (the brand has many SKUs and complex bundles)

Purchasing data maintenance
-Maintain the buying table used for purchasing coordination with the overseas team
-Log ordered products, tag in-transit inventory in the forecasting tool (Prediko), update incoming quantities
-Flag missing or inconsistent data. Buying decisions stay with the Technical Lead and sourcing team; your job is making sure the data they d ---------- from is right
-Inventory, orders, and fulfillment monitoring
-Routine checks on warehouse/fulfillment status and shipment tracking across Shopify, OMS, and spreadsheets
-Flag unresolved orders instead of letting them sit

Website support and QA
-Handle simple Shopify/website requests from the Customer Service team: text, images, FAQs, links, product settings
-Run checklist-based testing after site changes; test customer-facing scenarios, document issues with screenshots and repro steps, escalate anything technical

Task hygiene
-Keep Asana organized: statuses updated, stale tasks flagged, follow-ups chased

What you need
Hands-on Shopify admin experience (listings, products, collections, basic settings). TikTok Shop experience is a strong plus
Precise, reliable, detail-obsessed. This role is 80% "did it get done correctly, every time"
Comfortable in spreadsheets and matching data across systems
Smart enough to learn custom internal software. You don't need to code; you need to not be scared of new tools
Genuinely curious about AI tools: open, playful, and safe with them. You'll eventually work alongside an AI inventory agent
Strong written English; you'll coordinate with the Customer Service team and document issues clearly
Available during US Eastern business hours (any home timezone)

Nice to have
You drink tea, or want to. This brand sells specialty Chinese tea: loose leaf, pu-erh, oolong, matcha, teaware. Knowing the difference between a green tea and a red tea means you'll catch listing errors a generic VA never would, like a product tagged in the wrong category or a description that doesn't match the leaf. You don't need to be an expert; the team will happily deepen your education
