We are a U.S.-based strategic communications and marketing agency serving clients in public health, government, education, and social impact. We are seeking an experienced, highly structured Project Manager to lead multiple client engagements, strengthen our project management systems, and help cross-functional teams deliver excellent work on time and within scope.
This is a hands-on role for someone who understands the pace and complexity of a service-based agency. You should be comfortable creating order from ambiguity, anticipating risks, holding contributors accountable, and giving leadership a clear view of project status, capacity, and profitability.
What You’ll Own
Client Project Leadership
- Lead multiple concurrent client projects from kickoff through completion.
- Translate client goals and scopes of work into clear project plans, milestones, dependencies, and deliverables.
- Build and maintain detailed timelines, task plans, and resource allocations.
- Coordinate work across strategy, creative, communications, and operations teams.
- Identify risks and bottlenecks early, then implement practical mitigation plans.
- Keep projects moving while maintaining quality and strong client service.
Scope, Budget, and Resource Management
- Monitor project scope and address potential scope creep before it affects delivery.
- Track budgets, billable hours, and actual performance against projections.
- Partner with leadership on staffing, capacity, profitability, and resource planning.
- Document changes to timelines, deliverables, budgets, and responsibilities.
- Escalate concerns with clear options and recommended next steps.
Asana and Workflow Management
- Own and continuously improve the agency’s Asana environment.
- Build scalable project templates, dashboards, workflows, and reporting systems.
- Establish clear task ownership, dependencies, deadlines, and approval processes.
- Maintain strong accountability and deadline discipline across the team.
- Train and support team members in effective workflow and Asana practices.
- Identify opportunities to simplify processes and improve operational efficiency.
Communication and Reporting
- Lead organized internal project meetings and follow-up.
- Provide concise, structured weekly project updates.
- Proactively communicate risks, delays, decisions, and resource needs.
- Maintain accurate project documentation and decision records.
- Prepare executive-ready summaries that give leadership a clear view of progress and priorities.
What We’re Looking For
- At least five years of project management experience in an agency, consultancy, professional-services firm, or other service-based business.
- Experience managing multiple complex projects in a billable-hours environment.
- Proven success coordinating cross-functional, remote teams.
- Strong working knowledge of Asana, ---------- , or a comparable project management platform.
- Experience building project plans, workflows, timelines, and reporting systems.
- Strong understanding of scope, budget, resource, and risk management.
- Excellent written and verbal English communication.
- Exceptional organization, follow-through, and attention to detail.
- Ability to hold team members accountable with clarity, professionalism, and good judgment.
- A bachelor’s degree or equivalent combination of education and relevant experience.
Preferred Qualifications
- PMP, CAPM, PRINCE2, Agile, Scrum, or another recognized project management certification.
- Asana certification, such as Advanced Workflow Specialist, or equivalent advanced Asana expertise.
- Experience in marketing, strategic communications, public relations, advertising, consulting, or a creative agency.
- Experience supporting clients in public health, government, education, or social impact.
- Formal training in project management, operations, or process improvement.
