Job Title: Bookkeeper / Accountant — US Tax Prep & IRS Audit Substantiation (Part-Time, Project-Based)
About the role:
I'm a US-based small business owner (fitness coaching, LLC) and self-employed individual looking for a highly competent bookkeeper/accountant with US accounting experience (personal and business) to help me get current on my taxes and support an active IRS audit. You will work alongside my US tax representative (an Enrolled Agent), who handles all official filings and sign-off. Your job is the legwork: organizing, matching, and substantiating.
Project 1 (priority): 2025 Tax Return Preparation
Compile and organize all 2025 receipts and income records, split cleanly into two separate books: (1) Anthony Ogogo personal, (2) Ogogo Fitness Elite Coaching (LLC, taxed as disregarded entity/self-employed).
Match every expense to its corresponding bank or credit card statement line. A receipt alone is not sufficient; every deduction needs a paired payment record.
Calculate the home office deduction (business-use square footage as a percentage of total home square footage).
This return is currently overdue (was due April), so speed matters — the goal is to get this filing-ready as quickly as possible to minimize penalties and interest.
Project 2: 2023 IRS Audit Substantiation
The IRS disallowed three expense categories in full (Other Expenses, Travel, Legal & Professional Services) due to insufficient substantiation. This is now under appeal.
Go through all 2023 receipts and match each to bank/card statements using the same two-document standard as above.
Organize everything so it's ready to hand to my tax representative for the appeals hearing.
This is not time-critical (IRS appeals backlog is 8–24 months) but should be picked up once the 2025 return is filing-ready.
Ongoing role (after both projects are complete):
Become my regular bookkeeper — ongoing receipt organization, expense categorization, and keeping personal and business finances tidy and separated going forward.
Who you are:
Strong US bookkeeping/accounting experience, ideally with both personal and small-business (LLC/self-employed) returns.
Meticulous, detail-oriented, comfortable reconciling receipts against bank statements line by line.
Comfortable using your own preferred bookkeeping system/tools; I can share the records I already have organized.
Able to work independently and escalate only what needs a decision.
Bonus: experience supporting an IRS audit or substantiation process.
