Finance Manager / Controller – US Company
Confidential employer
Finance Manager / Controller – US Company
Part-Time | 20 Hours/Week | Remote | Philippines
We are NOT looking for a bookkeeper.
We are looking for a Finance Manager / Controller-level professional who can own the entire financial picture of our business and tell us what the numbers mean, what is changing, and what we should be concerned about.
I want someone who has already run finance for a US-based company and understands what good financial management looks like in a US small-business environment.
If your experience is primarily recording transactions, reconciling accounts, and producing reports based on someone else's instructions, this is not the role for you.
If you can look at our numbers and say, "Here's what is happening, here's why it is happening, and here's what we need to do about it," we want to hear from you.
The Profile We're Looking For
You should have:
- Philippine CPA OR an accounting/finance degree with 6+ years of finance leadership experience
- Direct experience working with US-based companies
- Strong understanding of US small-business accounting practices
- Deep expertise in QuickBooks Online (QBO)
- Experience cleaning up, restructuring, or migrating messy books
- Proven ability to build a cash-flow forecast from scratch
- Strong understanding of cash management, profitability, margins, AR/AP, and financial controls
- Excellent written and spoken English
- Comfortable getting on a call and walking the business owner through the numbers
- Strong analytical and problem-solving skills
- The confidence to proactively raise financial concerns instead of waiting to be asked
What You Will Own
1. QuickBooks Online – Full Ownership
You will be responsible for:
- Account reconciliation
- Proper categorization
- Chart of accounts integrity
- Month-end close
- Accurate and timely financial statements
- Identifying and correcting discrepancies
- Keeping the books clean and decision-ready
You should be able to take ownership of QBO without needing someone to constantly tell you what to do.
2. AR & AP Management
You will oversee:
- Accounts receivable
- Outstanding invoices and collections
- Accounts payable
- Payment scheduling
- Vendor management
- Cash requirements and upcoming obligations
3. Profit First
You will manage and maintain our Profit First allocation structure, ensuring allocations are accurate and consistently followed.
4. Daily Cash Snapshot
Every morning, you will provide a simple cash-on-hand snapshot showing where we stand financially.
The goal is to know our cash position before we make decisions—not after.
5. 13-Week Rolling Cash Forecast
You will build and maintain a weekly 13-week rolling cash-flow forecast.
This isn't a template-filling exercise.
You should be able to explain:
- What changed from last week
- Why it changed
- What upcoming cash pressures we should expect
- What assumptions are driving the forecast
- Where we may have a cash problem before it happens
- What actions management should consider
6. Monthly Financial Review
You will participate in a monthly financial review and walk us through:
- P&L
- Revenue trends
- Gross margins
- Margin by service line
- Operating expenses
- Cash position
- AR/AP
- Variances
- Profitability
- Where money is leaking
- What deserves management's attention
We don't just want reports. We want interpretation.
7. Proactive Financial Management
This is extremely important.
I want to hear about a problem from you before I see it in the bank balance.
If margins are declining, tell me.
If expenses are creeping up, tell me.
If cash flow is going to tighten three weeks from now, tell me.
If a service line isn't profitable, tell me.
If something doesn't look right, investigate it and bring it to my attention.
The Bar
Here's a simple test for whether you're the level we're looking for:
If we show you a job we quoted, can you tell us whether we actually made money on it?
Not just:
> "You spent $X."
We want:
> "Based on the revenue, labor, materials, overhead allocation, and other costs, this job produced approximately X% margin, and here's what affected profitability."
You should be able to connect the accounting data to actual business decisions.
Banking & Financial Controls
You will have appropriate access to execute recurring and pre-approved payments within an established spending ceiling.
Anything new or above the approved ceiling will require owner approval through the banking app.
Vendor bank-detail changes must always be independently confirmed directly with the owner.
These controls are non-negotiable and should be completely normal to someone operating at a Controller/Finance Manager level.
Schedule
- 20 hours per week to start
- Remote
- Flexible schedule, but you must be available for scheduled financial review calls
- Opportunity to increase hours and responsibility as the company grows
This Role Is NOT For You If...
- You primarily consider yourself a bookkeeper
- You need detailed instructions for every task
- You only reconcile accounts and enter transactions
- You have never built a cash-flow forecast
- You have no experience working with US businesses
- You are uncomfortable explaining financial results verbally
- You wait for the owner to discover problems
- You cannot explain why profitability or cash flow is changing
- Your experience is limited to data entry and transaction processing
This Role IS For You If...
You think like a Controller/CFO, even if your official title wasn't Controller or CFO.
You naturally ask:
"What do the numbers tell us?"
"Why did this change?"
"What happens to cash over the next 13 weeks?"
"Where are we making money?"
"Where are we losing money?"
"What should the owner know right now?"
If that sounds like you, we want to hear from you.
How to Apply
Please send:
1. Your updated resume
2. Your current hourly rate
3. Your desired hourly rate
4. Your availability in hours/week
5. Your experience working with US-based companies
6. Your QuickBooks Online experience
7. An example of a messy QBO cleanup or financial cleanup project you personally handled
9. Tell us about a time you identified a financial problem before the business owner noticed it
10. Briefly explain how you would determine whether a specific job/project was actually profitable
Important
Please do not send a generic application.
We are specifically looking for someone who can own finance, understand the numbers, communicate clearly, and proactively help run the business.
If you're genuinely operating at the Finance Manager / Controller level, we would love to hear from you.
