Automation Specialist
The role
You own every connection between our systems: SalesKick, GoHighLevel, Hyros, ---------- , Whop and the pages we build in Lovable.
Leads, bookings, reschedules, cancellations, call outcomes and sales all have to move between those tools. Right now nobody is watching whether they do.
Three things are needed from you: keep the automations we have running, fix them when they break, and build the ones we do not have yet. The full list is below.
The software stack we use
GoHighLevel. -Workflows, triggers, pipelines, tags, custom fields, calendars, snapshots, email s.
SalesKick - Where calls get booked. Bookings, reschedules, cancellations and no shows all start here.
Hyros - Attribution and tracking, in both directions with GHL.
---------- - Setter dialling lists, fed from GHL pipeline stages.
Lovable - Funnel and landing pages, and the webhooks that fire out of them.
Zapier - The glue between everything that has no native integration.
Stripe - Purchases, upsells and refunds flowing into the CRM.
Whop - Payment Processor
What you will actually do
- Run a daily check that every critical automation fired as expected, and log it. You tell us it broke, we never tell you.
- Watch webhook failures and Zapier error queues. Catch, fix, replay, then fix the cause so it does not happen twice.
- Confirm every SalesKick booking lands in GHL with the right owner, tags and pipeline stage.
- Keep the sales team calendars honest. Availability open where it should be open, blocked where it should be blocked, no double bookings, no ghost holds left behind by a cancelled call. A prospect must never see a slot that is not real, and a closer must never lose a slot that is.
Connect it
- Build webhook triggers from SalesKick for reschedules and cancellations, so a moved call updates the pipeline stage, the dialler list and the calendar without anyone touching it.
- Push call and sale data from GHL into Hyros, and pull attribution back onto the contact record so source travels with the lead.
- Wire Lovable pages and Stripe purchases into GHL with the correct tags, custom fields and pipeline stage.
- Sync pipeline stages to ---------- lists so setters always call the right people in the right order, with no manual admin.
Build it
- Build new automations from a written spec. Speed to lead, no show recovery, rebooking, abandoned checkout, buyer nurture.
- Improve tracking until every lead carries its source from first click through to cash collected.
- Document every automation you build. What fires it, what it does, where it can fail, how to test it.
Report it
- One page every week. What broke, what you fixed, what you built, what is at risk next.
- Raise numbers that do not reconcile before anyone else spots them.
Who you are
Required, and you will be asked to prove each one:
- Two years or more building inside GoHighLevel. Workflows, triggers, custom fields, pipelines, calendars, snapshots.
- Genuinely comfortable with webhooks and APIs. You can read JSON, fire a test payload in Postman, and work out what an error log is telling you.
- Zapier past the template level. Filters, paths, formatter, webhooks, error handling.
- Experience with a call tracking or attribution platform. Hyros preferred, others considered.
- Written English clear enough to report a failure precisely and ask a precise question.
- Able to work 9am to 5pm UK time, Monday to Friday, which is a late shift in the Philippines. Your own machine, stable internet, and a backup for both power and connection.
Counts strongly in your favour:
- Hyros specifically.
- Lovable, or another AI build tool, plus enough JavaScript to read what it produced.
- Claude or similar used as a real working tool. Tell us what you built with it.
- Stripe webhooks, Supabase edge functions, or anything else where you have debugged a payload rather than just connected an app.
- Whop and ---------- .
This role is wrong for you if you wait to be told something is broken, if you need a ticket before you act, or if you would rather report a problem than fix it.
How we will judge the first 90 days
Day 30. Know what we have.
A single document listing every automation, webhook, Zap, form and tracking script across GoHighLevel, SalesKick, Hyros, ---------- , Whop, Lovable and Zapier. For each one: what fires it, what it does, where it sends data, whether it is live or dead, and when it last ran.
Daily health check running and logged from week two.
Day 60. Make it reliable, and make it repeatable for clients.
Sales team calendars accurate with no manual fixes. A GoHighLevel snapshot we can deploy into a new client sub-account, with the standard automations and tracking already in it. One client build delivered end to end from that snapshot, documented well enough that the next one is faster.
Day 90. Data Verification.
90% or better agreement between GoHighLevel, Hyros and the dashboard on leads, calls booked, calls shown and cash collected. Measured weekly by reconciling the same week across all three, with any gap over 10% explained in writing.
Client onboarding down to a repeatable day of work: snapshot deployed, webhooks connected, tracking verified.
No silent failure running longer than 24 hours before you catch it.
Hours and pay
Full time, Monday to Friday, 9am to 5pm UK time.
$1,200 to $1,500 per month depending on experience, paid monthly. Reviewed at 90 days.
