ABOUT ME AND MY BUSINESS

I'm a Florida-based entrepreneur, coach, podcast host, and author running several small businesses at once — including a relationship-pattern coaching brand, a podcast production and launch service, a business consulting practice, and an esthetics/threading education business. I wear a lot of hats, and I'm looking for a dependable, detail-oriented virtual assistant to take repetitive but important tasks off my plate so I can focus on content creation, coaching, and the relationship-building calls only I can make.

This is real, ongoing work — not a one-off project. If we're a good fit, I'd love this to grow into a long-term working relationship where you learn my businesses well enough that I can hand off more and more over time.

THE ROLE

You'll be supporting outreach, social media scheduling, data entry, and light booking coordination across multiple brands. Every task comes with clear templates, brand guidelines, and instructions — you won't be guessing what to say or how something should look. My goal is to set you up to succeed, not throw you into the deep end.

This role is ideal for someone who is:

WHAT YOU'LL DO

This role covers nine main areas of ongoing work. None of these require creative writing, business decision-making, or phone calls from you — I provide the templates, scripts, and guidelines, and your job is to execute them consistently and well.

1. Individual Outreach Email s
Copy and paste provided email templates and send them individually to each contact on a list I provide. This is not a mass blast — each email goes out one at a time, personalized with the recipient's name/business where the template calls for it.

2. Social Media Scheduling
Schedule content across Facebook , Instagram, YouTube, TikTok, and LinkedIn for multiple business accounts, using the scheduling tool Postiz. For some posts, I'll give you the finished image and caption — you just schedule it. For others, you'll need to either build a simple graphic (using my Canva brand templates) or find an appropriate stock photo, then schedule the post.

3. Contact List Building & Updating
Build and maintain organized contact lists — things like salons, schools, podcast guests, and business leads — from sources I point you to (directories, spreadsheets, public records data, etc).

4. Tracker & Data Entry
Keep my outreach tracker, guest tracker, and mileage log updated and accurate. Update lead status as things progress: New, Contacted, Interested, or Declined.

5. Podcast Support
Upload and schedule podcast episodes to Buzzsprout once I hand off the finished audio files. Episodes go live on a consistent weekly schedule — every Wednesday. You'll also post pre-written show notes and episode descriptions, always ending with my standard call-to-action footer.

6. Confirmation & Follow-Up Email s
Send confirmation and reminder email s to workshop registrants or podcast guests using templates I provide. This also includes scheduled follow-up sequences (like a "day 3 reminder" email ) sent at set intervals.

7. Inbox & Calendar Support
Keep an eye on my inbox and DMs across platforms — you don't need to respond to everything, but you'll flag or forward anything that needs my personal attention. You'll also help manage my calendar bookings through Calendly and send reminders to scheduled calls.

8. Research & Compiling
Pull publicly available contact information (names, email s, phone numbers) from webpages I specify, and organize that data cleanly into spreadsheets.

9. Speaking & Class Booking Outreach (if comfortable with outreach)
Reach out to schools, shelters, and other organizations to pitch me for speaking engagements and classes, using one-sheets and templates I provide. You'll send the initial outreach and answer basic questions — once an organization shows genuine interest, you'll loop me in directly so I can handle scheduling and fees personally.
