Right at Home is opening a new office serving the Akron, Ohio community, and we're looking for a talented Virtual Assistant to support our home care operations, caregiver recruiting, scheduling, administration, and customer service.
This is an opportunity to work directly with the Franchise Owner and become an important part of a growing home care agency. You'll help create organized systems, communicate with caregivers and clients, support recruiting efforts, maintain accurate records, and contribute to the daily success of the business.

About the Role
The Virtual Assistant will provide remote administrative and operational support for our home care agency. This position will assist with caregiver recruiting and onboarding, scheduling, client and caregiver communication, data entry, documentation, customer service, compliance support, marketing administration, and general business operations.
You will work closely with the Franchise Owner and agency leadership to help ensure that clients receive excellent service and caregivers receive timely, professional support.
What You'll Do
Administrative Support
- Provide day-to-day virtual administrative support.
- Organize digital files, records, and documents.
- Enter and update information accurately in company systems.
- Prepare reports, spreadsheets, checklists, and other administrative materials.
- Manage email correspondence and follow-up tasks.
- Help maintain calendars, task lists, and internal workflows.
- Assist with special projects as assigned.
- Identify opportunities to improve administrative processes and efficiency.
Caregiver Recruiting & Onboarding
- Review caregiver applications and resumes.
- Contact qualified applicants by phone, email , or text.
- Schedule interviews and follow up with candidates.
- Maintain accurate applicant tracking records.
- Assist with onboarding paperwork and documentation.
- Help coordinate orientation and training activities.
- Maintain organized digital personnel files.
- Support caregiver communication, engagement, and retention efforts.
- Send reminders regarding required documents, training, and appointments.
Client Services & Scheduling Support
- Assist with client and caregiver scheduling.
- Communicate professionally with clients, families, caregivers, and referral partners.
- Confirm appointments, shifts, and schedule changes.
- Help track open shifts and caregiver availability.
- Update client and caregiver records.
- Follow up on service questions and administrative concerns.
- Escalate urgent issues or complaints to agency leadership promptly.
- Support client satisfaction and service follow-up efforts.
Customer Service & Communication
- Answer or return calls and respond to messages as assigned.
- Provide courteous, professional, and timely communication.
- Maintain a helpful and compassionate tone when speaking with clients, families, and caregivers.
- Document important conversations and follow-up items.
- Ensure messages are routed to the appropriate person.
- Follow established communication procedures and escalation guidelines.
Compliance & Documentation Support
- Help maintain accurate and organized records.
- Assist with document collection and tracking.
- Support compliance checklists and internal audits.
- Maintain confidentiality of client, caregiver, and company information.
- Follow company policies and procedures for handling sensitive information.
- Notify agency leadership of missing, incomplete, or inconsistent documentation.
Marketing & Business Development Support
- Assist with social media, email , and marketing administration.
- Help prepare newsletters, flyers, presentations, and other materials.
- Maintain contact lists and referral partner information.
- Research community organizations, referral sources, and business opportunities.
- Assist with tracking outreach activities and follow-up tasks.
- Support online reputation and review management efforts as directed.

Qualifications
- Previous experience as a virtual assistant, administrative assistant, customer service representative, recruiter, scheduler, staffing coordinator, or healthcare support professional preferred.
- Experience supporting U.S.-based clients or companies preferred.
- Strong written and spoken English communication skills.
- Excellent organizational, time management, and follow-up skills.
- Strong computer skills and comfort using online systems.
- Experience with Google Workspace, Microsoft Office, spreadsheets, email , and video conferencing.
- Ability to learn scheduling, recruiting, CRM, and home care software.
- Reliable high-speed internet connection (backup connection a plus).
- Quiet, professional workspace.
- Computer with a working webcam and headset.
- Ability to work during the agreed-upon U.S. Eastern Time schedule listed above.
- Ability to maintain confidentiality and handle sensitive information responsibly.
Preferred Experience
Experience in any of the following is helpful, though direct home care experience is not required — training will be provided on our systems, processes, and services:
- Home care or healthcare administration
