About the Role

We are seeking a highly organized, detail-oriented, and confident Virtual Assistant based in the Philippines to help support our growing life insurance agency.

This role is ideal for someone who is excellent on the phone, persistent with follow-up, and committed to helping clients stay engaged throughout the insurance process.

You will play a critical role in:

  • Following up with current clients
  • Scheduling appointments
  • Calling leads
  • Confirming appointments
  • Keeping our CRM organized and updated

Your Primary Responsibilities
1. Client Follow-Up

  • Call current clients to collect missing information
  • Follow up on outstanding documents or signatures
  • Confirm beneficiary details
  • Conduct policy review appointment scheduling
  • Re-engage clients who have gone silent

2. Appointment Setting

  • Call new leads and schedule appointments for our licensed agents
  • Send reminders via text and email
  • Confirm appointments the day before and day of

CRM Management

  • Update notes after every conversation
  • Tag contacts appropriately
  • Track follow-up dates and statuses
  • Maintain accurate records

3. Administrative Support

  • Send email s and text messages
  • Organize contact lists
  • Assist with basic data entry

Tools We Use
Experience with any of the following is helpful:

  • GoHighLevel (GHL)
  • CallTools or power dialers
  • Google Workspace
  • Zoom
  • Slack

Required Qualifications

  • Excellent spoken and written English
  • Neutral or clear accent
  • Strong phone confidence
  • Minimum 2 years of virtual assistant, customer service, or appointment-setting experience
  • Ability to handle follow-up consistently and professionally
  • Reliable internet connection (minimum 50 Mbps)
  • Quiet work environment
  • High attention to detail
  • Comfortable working U.S. Eastern Time hours

Preferred Experience

  • Insurance industry experience
  • Appointment setting or telesales
  • CRM experience
  • Experience with outbound dialing

Compensation

  • Competitive hourly pay based on experience
