We are seeking a versatile Virtual Recruitment, Marketing & Admin Specialist to join our team. In this multi-faceted role, you will manage the end-to-end talent acquisition process, billing, and serve as an administrative anchor—handling inbound/outbound phone calls and supporting day-to-day office workflows for our US-based Home Health Agency.
Qualifications:
- 2+ years of Staffing/Recruitment experience, with a strong understanding and ability to recruit for all levels of an organization.
- 1+ years of administrative support, virtual assistance, or customer service experience (handling phone systems preferred).
- Excellent interpersonal skills, phone etiquette, and team-based project experience.
- Clear understanding of the end-to-end recruitment life-cycle processes.
- Proven experience mapping and sourcing candidates from diverse digital channels and job boards.
- Proficient computer skills including Microsoft Office applications and in-depth knowledge of data mining, Boolean queries, internet research, and resume scraping.
- Strong attention to detail, highly organized, and willingness to learn.
- Exceptional command of verbal and written English (both written copy and spoken phone communications).
Core Recruitment & Marketing Responsibilities:
- Sourcing & Screening: Proactively source, screen, and interview applicants for both hourly (caregivers/field staff) and salaried positions.
- Digital Recruitment Marketing: Create, implement, and manage Employment Marketing Strategies across social media (Facebook , LinkedIn, etc.) and online job boards to build brand awareness and attract passive job seekers.
- Content & Campaign Creation: Draft engaging recruitment copy, design basic digital flyers/ads, and launch online outreach campaigns targeted at local healthcare professionals.
- Community Engagement: Assist in organizing, promoting, and executing virtual job fairs, digital open houses, and local outreach events.
Administrative & Phone Responsibilities:
- Communication & Phone Management: Answer incoming calls professionally, address inquiries from applicants, staff, or clients, route calls to the appropriate team members, and make outbound follow-up calls.
- Admin Support: Maintain accurate tracking spreadsheets, update Applicant Tracking Systems (ATS), and ensure digital candidate files and compliance documentation are organized.
- Calendar Coordination: Coordinate and schedule interviews, calibration meetings, and follow-up appointments for the management team.
Additional Leadership & Operational Responsibilities:
- Partner with Organization Leaders to forecast and develop plans for key staffing initiatives.
- Work closely with hiring managers and interview teams to ensure job requirements and expectations are clearly understood and candidates are assessed against appropriate criteria (Calibration).
- Track, analyze, and report key recruitment, marketing, and operational metrics to predict staffing activity.
- Maintain regular follow-ups with respective hiring managers and candidates to ensure the timeliness and efficiency of the recruitment process.
