Studio Manager - Admin, Operations & AI Lead (full time also available)

Not another VA role. Run the operations behind a successful Podcast and Content Studio with huge opportunity for growth.

We are not looking for someone to come and do 'admin'
We are looking for a Studio Manager who work with us to own the operations and growth of our studio based in Brisbane, Australia.

After landing every podcast we've ever launched on the top charts and and working with some of Australia's favourite creators, we discovered exactly what separates good content from content that builds your business, brand and community.

We spent years searching for a studio that actually understood what creators need ... Then we stopped searching and started building.

About You.

You are extremely organised
You love creating processes and structures that make everyones lives easier
You are proactive - if you see a way for something to be done better ... you do it.
You follow up. When someone says they will send something on Tuesday and it is Thursday, you have already chased it once, politely, without being asked.
You love all of the small details
You have worked with a studio or agency before including client communications, managing bookings and overseeing editors, contractors or other agencies.
You want to grow with a business and have opportunities to learn and upskill
You are an excellent communicator.
You will find ways to fill your hours and always go above and beyond. If you build an AI workflow that gives you time back, you look for another way to contribute to the business so we all continue to win
BONUS - You love AI and are already building and learning to use AI tools.

Our Non-Negotiables

• You are not working with an agency or delegating work to other people. You may have the opportunity to grow a team under you later but we want to work with one person who is excited to grow with us
• Excellent communication. If a deadline is going to be missed, you are stuck or need help you let us know ASAP.
• You never hide problems.
• You are proactive and do things without asking BUT always ask questions rather than being stuck.

What you will own

• Building our lead management tool
• Owning every single enquiry through to booking (this will be alongside us to begin with)
• Our calendar and setting up email automations. Every session booked, confirmed, reminded and prepped. Reschedules handled before they become a problem.
• The production tracker. What was filmed, where the files are, which stage each deliverable is at, and knowing if anything is every delayed
• Our contractors. Briefing editors, chasing delivery against the calendar, checking work arrived in the right format before it goes to a client.
• Raising invoices for any off platform bookings
• Tracking hours for our residents
• Documenting SOPs to begin with (with AI tools to assist)

Opportunities for additional work in creating AI tools, editing, social media management, sales etc to fill additional hours. Let us know what you love to do and if its the right fit we would love to train and get you building other skills as well.

What we offer

• Mostly Australian business hours, 9am-5pm AEST
• Pay above the local project management market for the right person, reviewed at six months, always on time

Direct daily contact with the two founders. No middle manager, no agency, no ticket queue
Training in the AI production systems we are building. You will learn how automated podcast production actually works, from people doing it commercially. That skill will be worth more to you in three years than this job pays today
A long term seat. We are not filling a gap. We are hiring the person who runs Project C's operations for the next five years

Must haves
Two or more years in operations, project coordination, executive assistance or client delivery, ideally for a Western business
Excellent written English.
Reliable power, internet and a working computer, with a backup plan
You will be dealing with video files so great internet is a must.
Comfortable in project tools such as Notion, ClickUp, and Frame
Extra points for experience in media, video, podcast or creative agency environments, or exposure to invoicing and accounts.
