About the Role

About the Role
Dynamic Decisions is a U.S.-based bookkeeping and fractional CFO firm that helps small business owners maintain clean books, improve financial reporting, and better understand their numbers.
We are looking for a detail-oriented Remote Bookkeeper / Accounting Assistant based in the Philippines to support bookkeeping, reconciliations, client follow-up, and month-end close across multiple client accounts.
This is a remote independent contractor role. Prior experience working in a bookkeeping firm, accounting firm, CPA firm, outsourced accounting provider, or other multi-client bookkeeping environment is required.
We are specifically looking for someone who is already comfortable managing multiple client files, following different procedures for different clients, and working through recurring monthly close processes.

What You'll Do

  • Categorize transactions in QuickBooks Online and/or Xero
  • Prepare bank and credit card reconciliations
  • Match receipts, invoices, and supporting documents
  • Review bank feeds and identify transactions that need clarification
  • Prepare organized client question lists
  • Support month-end close checklists
  • Clean up uncategorized or incorrectly categorized transactions
  • Track missing documents and open items by client
  • Prepare basic financial reports for review
  • Identify unusual transactions, duplicate entries, reconciliation issues, or possible errors
  • Organize accounting documents and workpapers
  • Follow written SOPs and document recurring client processes
  • Help keep multiple client files organized and moving toward completion

You will initially prepare work for review rather than being responsible for finalizing financial statements or making significant accounting changes without approval.
You will also not initially be responsible for filing tax returns, filing sales tax returns, processing payroll, moving money, paying bills, or communicating directly with clients without approval.

Required Experience

  • Previous experience working for a bookkeeping firm, accounting firm, CPA firm, outsourced accounting provider, or multi-client bookkeeping team
  • Experience managing bookkeeping for multiple clients at the same time
  • Experience using QuickBooks Online for U.S.-based clients
  • Experience preparing bank and credit card reconciliations
  • Experience working from monthly close checklists and client-specific procedures
  • Strong understanding of bookkeeping fundamentals, including AR/AP, loan payments, merchant deposits, payroll entries, and balance sheet accounts
  • Strong written and spoken English
  • High attention to detail
  • Ability to manage recurring deadlines without constant reminders
  • Ability to recognize when something does not look right and ask thoughtful questions
  • Reliable internet access and comfort working securely with confidential financial information

Preferred Experience

  • Xero
  • U.S. small business bookkeeping
  • Monthly close packages
  • Reviewing P&Ls and balance sheets for unusual items
  • Service businesses, professional services, fitness businesses, real estate, or project-based businesses
  • Keeper, Hubdoc, Dext, Bill.com, Ramp, Gusto, Stripe, Square, Shopify, or similar platforms
  • Documenting client-specific bookkeeping procedures

What We're Looking For
We are not looking for someone who simply "codes transactions." We want someone who thinks like a bookkeeper - someone who notices inconsistencies, double-checks their work, asks questions when something is unclear, and keeps organized notes.

  • Switching between multiple clients without losing accuracy
  • Following different rules and procedures for different clients
  • Tracking open questions and missing information
  • Preparing clean work for review
  • Meeting recurring monthly deadlines
  • Communicating when something is blocking their work
  • Receiving feedback and improving over time
  • Taking ownership of assigned responsibilities

Work Schedule
This is a remote independent contractor position.
We are seeking someone with full-time availability and capacity, approximately 40 hours per week.
Some overlap with U.S. Pacific Time is needed for communication and collaboration. Our preferred overlap window is approximately 5:00 PM-7:00 PM Pacific Time, which is morning in the Philippines.
Outside of scheduled meetings and agreed-upon overlap periods, the contractor will generally have flexibility in determining when and how assigned work is completed, provided deadlines, quality standards, and client requirements are met.

Compensation
$7-$14 USD per hour, depending on experience and demonstrated bookkeeping skill.
The higher end of the range is intended for candidates with strong U.S. bookkeeping experience, substantial multi-client experience, and the ability to work independently with limited supervision.
Please include your desired hourly rate in your application.

How to Apply
Please send:
1. A short introduction about yourself
2. Your resume or summary of bookkeeping experience
3. Your desired hourly rate
4. Your availability and preferred work schedule
5. A screenshot or description of your internet speed
6. A Loom video answering all of the screening questions below
Loom video requirement: Please keep your video to approximately 5-10 minutes. You do not need to create a polished presentation. We simply want to hear you explain your experience and how you approach bookkeeping situations in your own words.
Required subject line: Detail-Oriented Multi-Client Bookkeeper
Applications that do not include both the required subject line and Loom video may not be reviewed.

Loom Video Screening Questions
1. Tell me about your experience working for a bookkeeping firm, accounting firm, CPA firm, outsourced accounting company, or other multi-client bookkeeping environment.
2. How many client files were you typically responsible for at one time, and what types of businesses did you support?
3. Walk me through the bookkeeping tasks you personally handled during a typical monthly close.
4. How did you track client questions, missing documents, outstanding reconciliations, and other open items across multiple clients?
5. Tell me about the most difficult bookkeeping cleanup, reconciliation issue, or accounting problem you have worked on. What was wrong, and how did you help resolve it?
6. Imagine you are supporting 8 different client files in QuickBooks Online. Each client has different coding rules, month-end deadlines, and open questions. How would you organize your work to make sure nothing is missed?
7. You see a $247.83 bank transaction paid to "Amazon," but there is no receipt or description. Walk me through exactly what you would do before categorizing the transaction.
Qualified candidates may be asked to complete a short bookkeeping skills test and participate in a video interview.
