About the Role

Chief of Staff Pathway

Reports to: Founder / CEO

Works Closely With:

  • Program Manager & Events Coordinator
  • Media & Audience Growth Manager

Location: Hybrid or Remote
Type: Full-time (preferred)

PURPOSE OF THE ROLE

The Executive Assistant, Client Success & Strategic Operations Lead exists to maximize founder leverage by ensuring time, attention, relationships, and opportunities are aligned with mission-critical, revenue-generating priorities.

This role is designed to evolve into a Chief of Staff–type position and serves as a selective relational connector, not a gatekeeper.

Your work will help the Founder:

  • Stay focused on high-impact leadership activities
  • Deepen connection with the right people
  • Grow mission-aligned communities and programs
  • Convert meaningful relationships into long-term engagement

CORE ORIENTATION: SELECTIVE CONNECTOR, NOT GATEKEEPER

This role does not block access.

It curates access.

The person in this role is responsible for:

  • Helping the CEO connect with the right people
  • Ensuring relational energy is invested where it advances the mission
  • Creating clarity around who deserves time, attention, and follow-up

CORE RESPONSIBILITIES

1. Mission-Aligned Growth & Revenue Support

This is an explicit priority of the role.

Understand the business model and growth goals for:

  • Next Level
  • The Path
  • ShortTrack CBA Program
  • Client engagements and projects

Help prioritize activities that:

  • Bring new people into the Next Level community
  • Increase Path participation
  • Attract and support qualified Short Track advisors
  • Drive client engagement and depth

Track and support:

  • Strategic conversations
  • Warm leads
  • Referral pathways

Ensure follow-up is timely, thoughtful, and aligned with the mission.

This role ensures good conversations don’t die from inattention.

2. Founder Time, Energy & Focus Optimization

  • Manage and curate the Founder’s calendar
  • Protect time for:
  • Teaching
  • Thought leadership
  • Content creation
  • Strategic relationship development
  • Advisor training
  • Reduce reactive scheduling and distraction
  • Prepare briefings so the CEO is always context-ready

This role protects clarity, not just availability.

3. Strategic Relationship & Inbox Management

  • Monitor, organize, and manage the CEO’s inbox
  • Respond on behalf of the CEO where appropriate
  • Draft responses for review when needed

Prioritize email s related to:

  • Revenue-generating opportunities
  • Mission-aligned relationships
  • Program growth and advisor development
  • Escalate sensitive or urgent matters appropriately

This role turns the inbox into a relationship intelligence system, not a stress source.

4. Client Success & Engagement — Non-Program Work

Coordinate and support:

  • Coaching
  • Assessment Reviews
  • Advisory Work
  • Proposal Generation

Ensure every client interaction feels:

  • Prepared
  • Personal
  • Intentional

Additional responsibilities include:

  • Capture and organize notes, insights, and commitments
  • Maintain continuity across sessions and engagements by updating client notes as needed

5. Cross-Role Alignment & Strategic Communication

Work closely with the Program Manager to:

  • Align 1:1s, cohorts, and relational priorities
  • Ensure member connection supports retention and depth

Coordinate with the Media Manager to:

  • Surface mission-aligned stories and themes, with discretion
  • Protect confidentiality and message integrity

Additionally:

  • Identify misalignment early and recommend course correction

This role ensures people, message, and operations move together.

SKILLS & EXPERIENCE REQUIRED

Must-Haves

  • Experience supporting senior leaders
  • Strong judgment and discretion
  • Excellent written communication
  • High emotional intelligence
  • Ability to manage complex priorities

Strongly Preferred

  • Background in consulting, coaching, or professional services
  • Comfort with growth-oriented environments
  • Experience with relationship-driven business models

STRATEGIC GUARDRAILS

This role:

  • Does not own marketing strategy or curriculum
  • Does not replace CEO relationships
  • Does not operate as a blocker
