About the Role

Location: Remote / Virtual
Type: Full-time, Independent Contractor
Hours: 45 hrs/week, Mon–Fri, 10am–7pm ET
Compensation: Monthly

We are a home services company that helps homeowners coordinate inspection, maintenance, diagnostics, and repair work for solar systems through a network of independent service providers. We're a fast-moving, technology-driven team, and we're looking for an organized, proactive operations assistant to keep our day-to-day operations running smoothly.

About the Role
We're hiring a full-time contract Virtual Operations Assistant to support our operations and customer-facing systems. You'll be the behind-the-scenes engine that keeps scheduling, communication, and records accurate and on time. This is a great fit for someone who's detail-obsessed, communicates clearly in writing, and thrives with minimal hand-holding once they know the workflows.

What You'll Do

  • Manage inbound and outbound communication with homeowners and service providers via email , phone, and text
  • Schedule and coordinate appointments between customers and field technicians/contractors
  • Maintain accurate records in our CRM and project management tools (data entry, status updates, document uploads)
  • Prepare, format, and organize documents, reports, and customer files
  • Monitor shared inboxes and route or respond to messages promptly
  • Track job progress and follow up to ensure tasks don't fall through the cracks
  • Identify recurring bottlenecks and suggest process improvements

What We're Looking For

  • 2+ years of administrative, virtual assistant, or customer support experience (home services, real estate, or trades industry a plus)
  • Excellent written and verbal English communication skills
  • Strong organizational skills and sharp attention to detail
  • Comfortable learning and working in software tools such as custom CRMs, project management platforms (e.g., ClickUp), and Google Workspace
  • Reliable high-speed internet, a quiet work environment, a computer suitable for full-time remote work, and backup equipment in the event of power/internet outages
  • Self-starter who can manage their own time and follow through without constant supervision
  • Available to work US Eastern Time business hours

Nice to Have
Experience in the solar, construction, HVAC, or home services industries
Familiarity with scheduling/dispatch tools and customer communication platforms

Contract Terms
This is a full-time, independent contractor position. The contractor is responsible for their own taxes and equipment.
