About the Role

The short version

We're a Sydney agency and SaaS company serving premium salon and beauty brands. We're hiring one person to own delivery: the person who makes sure client work is documented, actioned, has passed QA, and ships. You will own the entire delivery pipeline across all agency clients so ferocious organisation is a must.

You'll build with AI agents, execute campaign work hand -on, chase QA across the team, and run our sprint process. You are the last set of eyes before anything reaches a client.

This is not a junior VA role and it's not a developer role. It's the person in the middle who makes everything move.

What you'll own

Delivery (the core of the job)

  • Every client deliverable passes through you before it ships, you check it against the brief, the source files, and common sense
  • You chase open loops: unanswered questions, half-done tickets, missing assets, unsent tests
  • You run sprint planning and retrospectives. You own the process and the follow-through. Priorities are set by the founder; you make sure the machine runs
  • You ensure all tickets have been vetted through QA and signed off (cross checking or supporting QA where capacity allows)
  • You follow all client communications and ensure all action points are captured into work tickets agentically
  • You run our recurring automated processes (e.g. weekly creative generation) — trigger, verify output, ship
  • When you notice a process is repetitive, you flag it to the engineering team, file the ticket, and see it through to delivery
  • You report on project status and delivery efficiency: what's in flux, what's blocked, how long things actually take vs. the estimate

Agent-directed building

  • You take a designer's file and direct Claude (or equivalent) to build it: HTML email s, Shopify stores and sections, landing pages, automations
  • You don't need to hand-write all the code — you need to spec clearly, review what the agent produces, catch what's wrong, and iterate until it's right
  • You know enough HTML/CSS/JS and Shopify to judge output quality and fix small things yourself

Campaign & platform ops

  • Email builds and sendouts (Mailchimp / Klaviyo): loading, testing, list management, triggering
  • Data work: uploads, migrations, cleaning, moving data between systems without breaking it
  • Kajabi flows, Shopify builds and config, light integration work

How we work (read this part carefully)

1. Evidence-based completion. "Done" is never a sentence. Done is a recorded outcome of a test once after shipping and the test paper trail to get it to production. Every task closes with an artifact.

2. AI-first. Claude, Cursor, or equivalent is how we build. You'll use agents daily — to build, to check, to document. In the interview you'll show us, live, how you work with these tools on a real project.

3. You are incredibly proactive - if you see an opportunity to implement process, make your life or another team members life easier, you suggest and implement it.

4. You are ambitious, want to learn and leave a mark

Skills
Must have: solid HTML/CSS (email -safe HTML especially), Shopify (themes, config, apps), one major ESP at a technical level (Klaviyo or Mailchimp), spreadsheet/data fluency, daily use of AI coding tools
Strong plus: Kajabi, JavaScript basics, Make/n8n/Zapier, Jira or similar, experience running sprints or standups, Australian agency or client experience, SCRUM/AGILE, Jira

Good backgrounds:

  • Campaign/marketing ops at an agency who became the person everyone trusted to check things
  • Digital producer or project coordinator who taught themselves to build with AI tools
  • Technical VA or ops specialist who outgrew the label
  • Logistics

Location: Philippines. Remote.
Hours: Full-time, aligned to Sydney (AEST/AEDT). PH is 2 hours behind — a normal working day for you, not night shifts.
Engagement: Independent contractor, paid monthly in USD. 3-month initial trial, ongoing after that successful completion as we're hiring for the long term.

Comp: USD $1,800–2,500/month based on demonstrated capability. Reviewed after the initial term.
Hiring process

Application — see below. Applications that don't follow the instructions are not read.
30-min call — screen-share how you actually work: your tools, a recent build, how you track what's done.
Paid trial task (2–3 days, paid) — a realistic delivery task: a design file, a brief, an ESP. Ship it with evidence.
Offer.

Total process: about a week. We move fast and expect you to as well.

How to apply

Send the following — nothing else:

You portfolio
Links or screenshots of 2–3 things you've shipped (email s, Shopify builds, automations) with one line each on your role
A 2–3 minute Loom showing how you use AI tools to build something real — actual screen, actual project

One short paragraph on the most recent time you caught an error — yours or someone else's — before a client saw it. What tipped you off, and what did you do?
