About the Role

Role Summary
LexNavi is seeking a dedicated Remote Legal Assistant to manage client intake and follow-up for a Maryland-based law firm. This is a client-facing, phone-primary role. The right candidate is the first point of contact for prospective clients — gathering information accurately, communicating professionally, and moving leads through the intake process reliably.
This role requires someone who can represent the firm with confidence, speak clearly and professionally in English, and handle sensitive conversations with discretion.
Key Responsibilities
Client Intake
Answer inbound calls from prospective clients promptly and professionally
Conduct structured intake conversations to gather complete client information
Record intake data accurately into the firm's case management system
Identify urgency and escalate time-sensitive matters to the attorney immediately
Follow-Up
Follow up with prospective clients who have not yet scheduled or completed intake
Track pending leads and ensure no prospect falls through the cracks
Send follow-up email s and make follow-up calls on a defined schedule
Maintain clear notes on all client interactions in the firm's system
Administrative Support
Schedule consultations between prospective clients and the attorney
Confirm and remind clients of upcoming appointments
Coordinate internally to ensure attorneys have complete intake information before consultations
Maintain intake pipeline organization and flag gaps or bottlenecks
Requirements
Excellent spoken English — clear, neutral, professional accent; confident on the phone with U.S. clients
Legal background — prior experience in a law firm, legal administrative role, paralegal work, or legal studies (law school, paralegal coursework)
Strong verbal communication skills — able to hold professional phone conversations without sounding scripted
Reliable, distraction-free home office setup with stable internet connection
Available 9:30 AM – 6:30 PM EST, Monday–Friday without schedule conflicts
Strong attention to detail — intake information must be accurate and complete
Comfortable with case management or CRM tools (training provided on firm-specific platform)
Strongly Preferred
Prior experience in estate planning, family law, or probate
Experience handling client intake in a U.S. law firm (remote or in-person)
Familiarity with Clio or similar legal case management platforms
Understanding of attorney-client confidentiality and privilege basics

Work Schedule & Compensation
Full-time, 9:30 AM – 6:30 PM EST, Monday–Friday with 1 hr lunch break
Monthly salary of ?65,000

Tools & Equipment
Firm-specific software and systems (e.g., case management/CRM platform) provided by the client law firm
The candidate is expected to provide a reliable computer, stable internet connection, and a quiet home office setup for phone-based work.
