We are a family-run UK care home group looking for an organised, reliable and detail-focused administrator to support the day-to-day running of our care homes.
This is a varied administrative role. You will help with staff records, timesheets and payroll preparation, invoices, suppliers, ordering, compliance trackers, maintenance coordination and general office administration.
We are looking for someone who takes ownership of their work, pays close attention to detail and follows tasks through to completion without needing constant reminders.

Key Responsibilities
General Administration
Keep staff, resident and supplier records organised and up to date
Maintain trackers, spreadsheets and filing systems
Draft letters, notices and basic documents
Take meeting minutes and circulate action points
Follow up outstanding actions with staff, managers and suppliers
Timesheets, Payroll and Finance Support
Collate and check staff timesheets before payroll
Compare timesheets against rotas and other records
Identify missing shifts, duplicate entries and incorrect hours
Process invoices and prepare approved payments
Maintain accurate payment and finance records
Follow up missing invoices, receipts or other information
HR and Compliance Support
Assist with employment checks, references, right-to-work documentation and DBS records
Keep personnel files complete and up to date
Maintain training and compliance trackers
Follow up staff and managers where documents or training are outstanding
Supplies, Contractors and Maintenance
Order care home and office supplies, including food, cleaning products and stationery
Obtain quotes and communicate with suppliers
Arrange repairs and maintenance visits
Follow up contractors, builders, engineers and suppliers
Arrange returns or replacements for faulty goods
IT and Communication
Liaise with IT support when there are system or equipment issues
Assist with social media updates and events
Communicate professionally with staff, suppliers, contractors, residents and families
What We’re Looking For
Previous administrative experience
Very good attention to detail
Strong organisational skills
Confident using Microsoft Word, Excel and Outlook
Comfortable working with spreadsheets and trackers
Good written and spoken English
Able to manage several tasks and priorities at the same time
Able to work independently and meet deadlines
Comfortable following up other people when information or actions are outstanding
Reliable, discreet and trustworthy when handling confidential information
Experience in healthcare, care homes, payroll, HR, finance or operations administration would be helpful, but is not essential.
