Remote Service Operations & Project Coordinator — HVAC / Electrical
We are a U.S.-based HVAC and Electrical service company looking for a reliable, highly organized, and proactive Remote Service Operations & Project Coordinator.
This is not a basic virtual assistant or call-center position.
We need someone who can take responsibility for the administrative and coordination side of our customer jobs and projects — from the moment a customer contacts us until the work, inspection, and follow-up are completed.
Your main responsibility is simple:
Make sure every customer request and every active project keeps moving forward without the owner having to constantly call people, chase information, or remind you what needs to be done.
Responsibilities
You will be responsible for:
- Managing incoming customer requests and active jobs
- Scheduling service calls, installations, follow-up visits, and inspections
- Managing and updating the company calendar
- Communicating with customers by phone, text, and email
- Confirming appointments and arrival windows
- Rescheduling appointments when necessary
- Following up with customers regarding estimates, approvals, scheduling, and project status
- Answering customer questions related to scheduling and project coordination
- Handling routine customer concerns and finding solutions
- Keeping customers informed when schedules, equipment deliveries, or project timelines change
- Calling suppliers and distributors
- Checking equipment and material availability
- Requesting pricing and order information
- Tracking equipment and material orders
- Confirming delivery dates and pickup availability
- Coordinating deliveries and pickups with technicians
- Communicating with technicians and installers regarding schedules and project requirements
- Making sure technicians have the information needed before arriving at a job
- Coordinating permit and inspection scheduling
- Contacting cities, counties, inspectors, utilities, and other organizations when necessary
- Scheduling inspections with customers and field teams
- Tracking inspection results and required follow-up
- Following up on unfinished jobs and open customer requests
- Monitoring estimates and contacting customers when follow-up is required
- Collecting missing information, photos, documents, model numbers, or other project details
- Updating job notes and customer information in the CRM
- Making sure no customer request or project is forgotten or left without a next action
What We Expect
We are looking for someone who does not wait to be told every individual step.
For example:
If equipment is expected to arrive tomorrow, you should check the status before the installation.
If the supplier says the equipment is delayed, you should determine the new ETA, communicate with the customer, coordinate with the field team, adjust the schedule if necessary, and update the CRM.
The owner should not have to ask:
“Did you call them?”
You should already know what needs to be followed up on.
Required Skills

Preferred Experience
Experience in any of the following is strongly preferred:
- HVAC
- Electrical
- Plumbing
- Construction
- Home services
- Property management
- Service dispatching
- Project coordination
- Construction administration
- Customer service for U.S. companies
Experience with Housecall Pro, ServiceTitan, Jobber, FieldEdge, or similar field-service software is a major advantage.
Work Schedule
Full-time remote position.
Schedule will generally follow California / Pacific Time business hours.
You must be comfortable working those hours consistently.
Compensation
Starting compensation depends on experience.
Expected range: Depends on experience
Strong performers who demonstrate independence, reliability, excellent customer communication, and the ability to manage projects with minimal supervision can earn more.
