We are looking for a Sales Virtual Assistant to support a growing property company with lead follow-up, appointment booking, CRM updates, and client communication.
This role is ideal for someone who is confident speaking to people, organised, quick to respond, and comfortable handling property-related enquiries in a professional way.
Role Overview
As a Sales VA, your main responsibility is to help turn new enquiries into booked calls, viewings, or qualified opportunities. You will be the first point of contact for many leads, so your communication needs to be clear, polite, confident, and persistent without being pushy.
You will work closely with the sales/property team to make sure every lead is followed up properly, logged correctly, and moved through the pipeline.
Key Responsibilities
- Lead Follow-Up
- Respond to new leads from Facebook , website forms, WhatsApp, email , property portals, and CRM systems.
- Call, message, and email leads quickly after they enquire.
- Follow up with old leads who have not replied.
- Keep leads warm through polite and consistent communication.
Qualification
- Ask basic qualifying questions to understand the lead’s needs.
- Find out their property requirements, budget, location, timeline, and level of interest.
- Identify serious leads and pass them to the right team member.
- Filter out low-quality or unsuitable enquiries.
Appointment Booking
- Book calls, viewings, consultations, or meetings into the team calendar.
- Confirm appointments with leads.
- Send reminders before appointments.
- Follow up with leads who miss calls or do not attend booked meetings.
CRM Management
- Add new leads into the CRM.
- Update contact details, notes, lead status, and follow-up dates.
- Make sure no lead is left without a next step.
- Keep the sales pipeline clean and organised.
Communication Support
- Send professional messages to leads, tenants, landlords, investors, or clients.
- Use approved scripts and templates while still sounding natural.
- Escalate important questions or difficult situations to the sales/property team.
- Maintain a professional tone at all times.
Requirements
The ideal candidate should have:
- Strong spoken and written English with a direct tone.
- Previous experience in sales, appointment setting, customer service, or admin.
- Confidence making calls and speaking to new people.
- Good organisation and attention to detail.
- Ability to follow scripts, processes, and CRM instructions.
- Fast response time and strong follow-up habits.
- A reliable internet connection and quiet working environment.
- Experience in property, real estate, lettings, estate agency, or property management is preferred but not required.
