BrightNest Cleaning is a growing residential and commercial cleaning company focused on providing reliable, professional service to our customers.
We are looking for a dependable Administrative Assistant to support our daily customer service and administrative operations. This position involves managing multiple tasks throughout the day, communicating with customers, coordinating bookings, maintaining CRM records, and following up with business owners and team members to make sure everything stays organized and on schedule.
The ideal candidate is organized, responsive, comfortable handling inbound calls, and experienced with CRM systems and administrative operations.
Key Responsibilities
- Answer inbound customer calls in a friendly and professional manner.
- Respond to customer inquiries through phone, email , text, and other communication channels.
- Schedule new cleaning appointments and manage existing bookings.
- Confirm appointments and communicate schedule changes to customers.
- Follow up with customers regarding inquiries, quotes, bookings, and service-related questions.
- Coordinate with cleaning teams regarding appointment details and customer requests.
- Follow up with business owners or managers on pending tasks, customer issues, and important updates.
- Maintain accurate customer information, appointment details, and notes in the CRM.
- Update and manage customer records, lead information, follow-up activities, and appointment history.
- Keep the company calendar, CRM, and scheduling system updated.
- Monitor incoming messages and make sure customer requests are handled promptly.
- Assist with preparing basic quotes, invoices, and administrative documents.
- Update spreadsheets, CRM records, and other company databases.
- Help organize daily tasks and follow up on items that are still pending.
- Track leads and customer follow-ups inside the CRM.
- Escalate customer complaints or urgent issues to the appropriate person.
- Prepare basic daily or weekly updates for management.
- Assist with general administrative and operational tasks as needed.
Administrative Operations & CRM
This role requires someone who can manage several responsibilities at the same time while keeping customer information and daily operations organized.
You will be expected to work confidently inside a CRM system, including updating customer profiles, entering notes, tracking leads, recording communication, managing follow-up tasks, and keeping appointment information accurate.
Experience with CRM platforms such as GoHighLevel, HubSpot, Salesforce, Zoho, Jobber, Housecall Pro, ServiceTitan, or similar systems is a strong advantage.
Required Skills & Experience
- Previous experience as an Administrative Assistant, Virtual Assistant, Customer Service Representative, or similar role.
- Previous CRM experience is required.
- Hands-on experience managing customer records, leads, notes, tasks, and follow-ups inside a CRM.
- Strong English communication skills, both written and verbal.
- Confident and professional telephone manner.
- Experience answering inbound calls and handling customer inquiries.
- Experience with appointment booking and scheduling.
- Strong organizational and multitasking abilities.
- Excellent attention to detail.
- Ability to prioritize tasks and meet deadlines.
- Comfortable following up with customers, owners, managers, and team members.
- Experience using Gmail, Google Sheets, Google Calendar, or similar tools.
- Familiarity with scheduling and CRM software.
- Ability to learn new systems and processes quickly.
- Reliable internet connection and a suitable computer.
- Ability to work independently and take initiative.
Working Hours
Full-Time – 40 hours per week
- Monday–Friday
- 8 hours per day
- 9:00 AM – 5:00 PM U.S. Central Time
- Includes a 1-hour unpaid lunch break
The successful candidate must be available during working hours to answer customer calls, manage bookings, update the CRM, handle administrative requests, and communicate with the team.
Salary
$1,600 USD per month
This is a full-time position based on 40 hours per week.
The compensation may be reviewed in the future based on performance, responsibilities, and growth within the company.
