Executive Assistant, Sales & Student Success Coordinator
Position Summary
Cure Advanced Aesthetics Institute is seeking a highly organized, professional, articulate, dependable, and sales-minded Executive Assistant, Sales & Student Success Coordinator to work closely with the Director of the Institute.
This is a unique hybrid position combining Executive Assistant responsibilities, student support, appointment scheduling, sales, lead follow-up, coaching-program promotion, and enrollment support.
Because this individual will work directly with the Director and frequently communicate on behalf of the Director and Institute, professionalism, confidentiality, organization, responsiveness, punctuality, and excellent communication are essential requirements of this position.
The successful candidate must be comfortable speaking with prospective students by telephone and helping them understand both our in-person and online educational opportunities. They must also be able to confidently promote the Director’s coaching programs, schedule appointments and consultations, follow up with leads, and help turn interest into enrollment or sales.
This position requires someone who can anticipate needs, stay several steps ahead, follow through without constant reminders, and represent the Director and Institute professionally.
Direct Support to the Institute Director
This individual will work very closely with the Director and will be expected to provide dependable executive-level administrative support.
Responsibilities include:
- Assist the Director with daily administrative and organizational responsibilities.
- Help manage the Director’s appointments, meetings, consultations, calls, and priorities.
- Schedule and confirm appointments.
- Provide reminders regarding important appointments, meetings, deadlines, and follow-ups.
- Maintain organized records of tasks assigned by the Director.
- Keep track of outstanding assignments and ensure they are completed.
- Assist with preparing information needed for meetings and appointments.
- Help organize documents, digital files, communications, and administrative information.
- Take notes during meetings when requested and document action items.
- Follow up with team members regarding assignments or information needed by the Director.
- Help protect the Director’s time by appropriately organizing requests, calls, appointments, and priorities.
- Assist with special projects assigned by the Director.
- Maintain strict confidentiality regarding business, student, employee, financial, and leadership matters.
The employee must be able to receive an assignment, understand the expected outcome, organize the necessary steps, and follow the assignment through to completion.
Punctuality, Responsiveness & Organization
Because this individual will work directly with the Director, promptness and reliability are non-negotiable expectations of this position.
The employee must:
- Be punctual and prepared to begin work at the scheduled time.
- Respond promptly to communications from the Director.
- Complete assignments by the assigned due date and due time.
- Maintain an organized task-management system.
- Keep accurate notes regarding assignments and follow-ups.
- Prioritize urgent and time-sensitive responsibilities.
- Communicate proactively when additional information is needed.
- Never allow an important assignment, appointment, prospect, or follow-up to be forgotten because of poor organization.
- Provide appropriate progress updates without requiring the Director to repeatedly ask for the status of an assignment.
- Anticipate upcoming needs whenever reasonably possible.
- Demonstrate excellent attention to detail.
- Maintain an organized calendar and appointment system.
- Confirm important appointments and meetings in advance.
Telephone Communication & Professional Representation
This individual will frequently be one of the first voices prospective students and clients hear.
The candidate must speak clearly, confidently, professionally, and warmly over the telephone.
Responsibilities include:
- Answer and make professional telephone calls.
- Communicate confidently with prospective students.
- Return telephone calls promptly.
- Conduct follow-up calls with leads.
- Explain programs accurately and enthusiastically.
- Listen carefully to prospective students’ goals and concerns.
- Ask appropriate questions to determine what the prospective student is seeking.
- Build rapport while maintaining professional boundaries.
- Communicate information clearly without sounding scripted or robotic.
- Properly document important conversations.
- Represent the Director and Institute professionally during every interaction.
Sales & Enrollment Support
Although this position includes executive-assistant responsibilities, sales is an important component of the role.
The employee must be comfortable discussing tuition, program value, schedules, online options, career goals, payment options, and next steps with prospective students.
Responsibilities include:
- Speak with individuals interested in enrolling in Institute programs.
- Explain available in-person and online educational opportunities.
- Understand the primary benefits and selling points of each assigned program.
- Help prospective students identify programs aligned with their goals.
- Communicate the value of our educational programs confidently.
- Address common questions and reasonable objections.
- Follow up with prospective students who have not yet made an enrollment decision.
- Encourage qualified prospects to complete applications and enrollment steps.
- Schedule admissions consultations when appropriate.
- Follow up after consultations.
- Maintain detailed notes regarding prospective students.
- Identify high-interest prospects and communicate those opportunities to the appropriate team member.
- Help move prospective students from inquiry ? conversation ? appointment ? application ? enrollment.
The employee should be comfortable asking for the next step and helping a qualified prospective student move forward rather than simply providing information and ending the conversation.
Coaching Program Sales & Marketing
A major responsibility of this position will be assisting the Director with the promotion and growth of coaching programs and other professional offerings.
Responsibilities include:
- Learn the Director’s coaching programs, services, target audience, benefits, pricing, and enrollment process.
- Confidently explain coaching opportunities to potential clients.
- Market coaching programs through approved channels.
- Respond to coaching inquiries.
- Conduct initial conversations with prospective coaching clients.
- Schedule qualified prospects for consultations with the Director.
- Follow up with prospects after consultations when requested.
- Help convert coaching inquiries into paying clients.
- Assist with email , text, social media, and other promotional campaigns.
- Help develop promotional ideas for coaching programs.
- Assist with webinars, workshops, speaking engagements, virtual events, and other promotional opportunities.
- Maintain an organized database of coaching prospects and clients.
- Re-engage previous prospects when appropriate.
- Help identify potential partnerships, speaking opportunities, referral sources, and audiences for the Director’s programs.
Appointment Setting & Calendar Management
The employee will be responsible for helping maintain an efficient appointment process.
Responsibilities include:
- Schedule consultations and appointments.
- Confirm appointments in advance.
- Send reminders when appropriate.
- Reschedule appointments professionally when necessary.
- Maintain accurate calendar information.
- Prevent unnecessary scheduling conflicts.
- Collect appropriate information before scheduling important meetings or consultations.
- Document the purpose of appointments so the Director is prepared.
- Follow up with individuals who miss scheduled consultations.
- Maintain an organized list of prospects requiring appointments or follow-up.
- Help maximize the Director’s available time by ensuring appointments are purposeful and properly organized.
Lead Management & Follow-Up
The employee will assist with managing prospective students and coaching leads.
Responsibilities include:
- Respond promptly to new leads.
- Organize prospects within the appropriate CRM, spreadsheet, or lead-management system.
- Maintain accurate contact information.
- Document conversations and next steps.
- Schedule follow-up dates.
- Maintain accurate lead statuses.
- Identify leads requiring immediate attention.
- Re-engage older leads.
- Follow established telephone, email , and text follow-up processes.
- Ensure qualified leads are not forgotten.
- Track appointments, applications, sales, and enrollments.
- Work with other team members to ensure leads are properly handled.
Every qualified lead should have a status, next step, and follow-up plan.
Student & Customer Support
This position will also assist with creating a positive experience for prospective and current students.
Responsibilities include:
- Respond to general student questions professionally.
- Assist newly enrolled students with understanding their next steps.
- Help students identify the correct department or staff member for specific concerns.
- Follow up when requested to ensure student concerns have been addressed.
