Position Summary - The Client & Caregiver Support Coordinator plays a key role in supporting daily office operations while ensuring outstanding service to both clients and caregivers. This position will serve as an important communication liaison between our leadership team, caregivers, clients, and families.
The ideal candidate is highly organized, enjoys helping others, communicates professionally, and thrives in a fast-paced environment.
Primary Responsibilities:
Customer Service & Phone Support
- Professionally answer incoming phone calls and email s.
- Provide exceptional customer service to clients, families, caregivers, and referral sources.
- Route calls appropriately and ensure timely follow-up.
- Represent Comfort Keepers in a positive, compassionate, and professional manner.
Scheduling Support
- Assist the Scheduling Coordinator with caregiver call-offs and urgent staffing needs.
- Contact caregivers regarding open shifts and schedule changes.
- Make outbound calls to confirm caregiver availability.
- Help communicate schedule updates and support staffing efforts.
Client Support
- Conduct follow-up calls with clients and families to ensure satisfaction with services.
- Document feedback and communicate concerns to management.
- Assist with client paperwork, documentation, and administrative tasks.
- Support the Care Manager with ongoing client communication and service follow-up.
Caregiver Engagement & Retention
- Conduct regular caregiver satisfaction and wellness check-in calls.
- Build positive relationships with caregivers and provide an additional layer of support.
- Identify concerns regarding scheduling, burnout, client compatibility, or job satisfaction and escalate issues appropriately.
- Complete welcome calls for new caregivers and follow up after initial shifts.
- Document caregiver interactions and assist with retention initiatives.
Administrative Support
- Maintain accurate electronic records and documentation.
- Assist with data entry, reporting, and special projects.
- Support office leadership with administrative and operational tasks as assigned.
- Maintain strict confidentiality of all client and employee information.
Qualifications
- Minimum of 2 years of experience in customer service, administration, call center support, virtual assistance, or healthcare support roles.
- Excellent verbal and written English communication skills.
- Strong phone etiquette and customer service skills.
- Exceptional organizational and multitasking abilities.
- Proficiency in Microsoft Office and web-based software systems.
- Ability to work independently with minimal supervision.
- Healthcare, home care, scheduling, or staffing experience is strongly preferred.
