Ecommerce Order Fulfillment & Tracking Virtual Assistant

We are a growing ecommerce company looking for a reliable and highly detail-oriented Virtual Assistant to manage daily order fulfillment and tracking.

This is a straightforward but very important role. The work is repetitive and process-driven, so we are looking for someone who is organized, accurate, dependable, and comfortable handling a high volume of orders every day.

Main Responsibilities
Fulfill customer orders manually through AliExpress.
Carefully copy and verify customer names, shipping addresses, product variants, sizes, colors, and quantities.
Make sure the correct product and variant are ordered every time.
Record AliExpress order numbers and order information in our tracking/order sheet.
Monitor fulfilled orders for tracking numbers.
Upload tracking information into Shopify when available.
Update our internal order spreadsheet with fulfillment and tracking status.
Check orders that have not received tracking updates.
Identify and flag unusual situations such as:
Product out of stock
Price changes
Seller delays
Invalid customer addresses
Failed or unusual tracking
Wrong product/variant concerns
Orders that have not shipped within the expected timeframe
Contact management when an order requires a decision or escalation.
Keep the fulfillment system organized and completely up to date.
What We Are Looking For

The most important qualities for this position are:

Extremely strong attention to detail.
Ability to perform repetitive work accurately for several hours.
Reliable attendance and communication.
Comfortable using Shopify, AliExpress, Google Sheets, and browser-based tools.
Able to follow written SOPs exactly.
Good written English.
Strong organization skills.
Ability to recognize when something looks incorrect instead of blindly processing an order.
Comfortable handling potentially 80–150+ orders per day as the company grows.

Previous Shopify, AliExpress, dropshipping, ecommerce fulfillment, or order-processing experience is preferred but not required if you are a fast learner.

Important

Accuracy is more important than speed.

Ordering the wrong size, color, quantity, product, or shipping to an incorrect address can create significant losses for the company.

You will be expected to double-check every order before submitting it.

As you become experienced with our system, we will also expect you to become faster while maintaining a very low error rate.

Schedule

This is intended to become a long-term position.

We are looking for someone who can work consistently each week and process the daily fulfillment workload without allowing orders to build up.

Additional hours may become available as order volume increases.

Compensation

Starting compensation will be discussed based on experience.

There will be opportunities for increased pay and responsibility for someone who proves to be highly reliable, accurate, and capable of managing our fulfillment operation.
