Virtual Production Coordinator — Construction / Outdoor Living

EDGE Outdoors is looking for a highly organized Virtual Production Coordinator to support our outdoor-living construction projects from the moment a job is sold through production readiness.
This is not a general administrative assistant position. You will help turn a sold project into an organized, documented, ready-to-build project.
EDGE Outdoors is a South Carolina outdoor-living contractor. We build projects such as screen rooms, sunrooms, pergolas, decks, patios, and other outdoor living spaces.
This is a full-time role as we scale. Target workload is up to 40 hours per week, with compensation in the $5-$8/hour range and a maximum monthly budget of $1,200.
WHAT YOU WILL OWN
Once a project is sold, you will work with the Project Manager to help prepare the project for production. Your responsibilities may include:
- Meeting with the Project Manager for a Sold Project Handoff / Production Review.
- Reviewing contracts, estimates, plans, selections, photos, notes, and project scope.
- Identifying missing information or decisions that could delay production.
- Creating detailed work orders for crews and subcontractors.
- Preparing material takeoffs and material order forms from approved project information.
- Organizing project documents and production folders.
- Preparing and submitting permit applications as authorized.
- Tracking permit approvals, inspection requirements, and required documentation.
- Researching local permit and licensing requirements for applicable municipalities.
- Preparing purchase orders and vendor documentation as directed.
- Confirming customer selections and specifications are properly documented.
- Assisting with subcontractor scopes and production documentation.
- Tracking long-lead materials and required delivery dates.
- Maintaining accurate project status in EDGE systems and following up on missing information.
- Helping confirm that every project is Production Ready before scheduling.
THE STANDARD
When production receives a project, the team should not have to hunt for information. The project file should clearly answer:
- What are we building?
- What materials are required?
- What has been ordered?
- Who is performing each portion of the work?
- What permits or approvals are required?
- What customer selections have been made?
- What is still outstanding?
- Is the project actually ready to schedule?
YOU MAY BE A STRONG FIT IF YOU ARE
- Extremely organized and detail-oriented.
- Comfortable following structured processes and checklists.
- Able to read construction estimates, scopes, plans, and specifications.
- Comfortable communicating professionally with contractors, suppliers, and government offices.
- Good at finding missing information before it becomes a problem.
- Persistent with follow-up and comfortable managing multiple projects at once.
- Able to work independently without constant supervision.
- Strong with spreadsheets, PDFs, online forms, and project-management software.
- Clear and professional in written English.
CONSTRUCTION EXPERIENCE STRONGLY PREFERRED
Relevant backgrounds include residential construction, remodeling, decks/outdoor living, landscaping or hardscapes, roofing/exteriors, estimating, purchasing, material ordering, permitting, project coordination, or construction administration.
Experience with JobTread or similar construction-management software is a plus. You should also be comfortable with Google Workspace, PDFs, construction drawings, supplier/vendor portals, and municipal permitting websites.
IMPORTANT ROLE BOUNDARY
The Project Manager owns field execution and project decisions. The Virtual Production Coordinator owns the administrative readiness of the project: documentation, procurement support, permits, follow-up, and completeness.
You will not be responsible for unsupervised engineering, code interpretation, contractor licensing, or field construction decisions.

- Permit requirements are identified early and tracked.
- Missing information is caught before field production.
- Project Managers spend less time on paperwork and more time managing projects.
- Every project has a clear, organized production file before work begins.
