Operations Assistant / VA

Remote | Full-Time

We are looking for a highly organized and tech-savvy Operations Assistant / VA to support the day-to-day operations of our digital marketing agency.

This is a hands-on role for someone who understands agency workflows, enjoys structure, and is comfortable with systems, spreadsheets, AI, and automation.

Responsibilities

• Support daily agency operations and project management
• Maintain and organize tasks, deadlines, and workflows in ClickUp
• Follow up on overdue tasks and help keep the team accountable
• Maintain trackers, reports, and operational dashboards in Google Sheets
• Assist with client and team onboarding/offboarding
• Keep SOPs and internal documentation organized and updated
• Identify repetitive tasks and help automate them
• Build and maintain simple automations using tools like Zapier, Make, n8n, Claude, and ChatGPT
• Help improve internal processes and make the agency more efficient

Requirements

• Previous digital marketing agency experience is required
• Strong experience with ClickUp
• Strong Google Sheets skills
• Experience with automation tools such as Zapier, Make, or n8n
• Comfortable using ChatGPT, Claude, and other AI tools
• Excellent organization and attention to detail
• Strong written English
• Proactive and able to work independently
• Comfortable following up with team members and managing multiple priorities
