Beautific Studios is a growing tattoo and education studio based in Newport Beach, California. We’re looking for a reliable, detail-oriented Client Support & Booking Virtual Assistant to help manage tattoo inquiries, client communication, quoting, booking support, artist recommendations, and follow-up.
This is not just a general administrative VA position.
You’ll become knowledgeable about our studio, artists, services, pricing, and booking process so you can help guide potential clients from their initial inquiry to the right artist and appointment.
One of our biggest priorities is responsiveness. When someone reaches out because they’re interested in getting tattooed, we want them to receive a helpful response quickly and have someone actively guide them toward the next step.
We’re looking for someone who is naturally organized, communicates warmly and professionally, learns quickly, has good judgment, and is extremely good at following through.
Previous tattoo industry experience is not required. We’ll teach you our quoting and booking systems. However, genuinely loving or being interested in tattoos, art, beauty, or creative industries is a major plus — you’ll spend a lot of your day looking at tattoo designs and helping people bring their ideas to life.
What You’ll Do
Your responsibilities will include:
- Monitor incoming tattoo inquiries throughout your scheduled working hours
- Respond to new inquiries in a warm, professional, and timely manner
- Prioritize quick response times so potential clients aren’t unnecessarily left waiting
- Keep active booking conversations moving by responding promptly when clients reply
- Review client messages, tattoo ideas, and reference photos
- Collect missing information such as size, placement, design details, style, budget, and availability
- Prepare and send tattoo quotes using our established pricing guidelines
- Proactively follow up with potential clients who received a quote but haven’t booked
- Make sure every inquiry has a clear next step and no potential client gets forgotten
- Help clients through the booking, scheduling, and deposit process
- Answer common questions about pricing, appointments, artists, policies, and services
- Learn each artist’s specialties, strengths, experience level, pricing, availability, and preferred types of projects
- Recommend the appropriate artist based on the client’s tattoo idea, style, complexity, budget, preferred timing, and artist availability
- Recognize when a tattoo requires a more experienced or specialized artist rather than simply assigning whoever is available
- Present clients with appropriate artist options when multiple artists could be a good fit
- Offer appropriate alternatives when a client’s preferred artist or appointment time isn’t available
- Help maximize bookings while always prioritizing a good client-to-artist match
- Update client information, inquiries, and lead statuses in our systems
- Keep conversations organized and ensure potential clients don’t fall through the cracks
- Recognize when something falls outside our normal quoting or booking guidelines and escalate it to management
- Assist with additional client-service and administrative responsibilities as needed
What We’ll Teach You
You do not need to know how to quote tattoos or evaluate tattoo designs on your first day.
We’ll train you on:
- Our tattoo pricing and quoting guidelines
- Tattoo sizing and placement considerations
- Different tattoo styles and levels of complexity
- Our artists and their individual specialties
- Artist pricing and availability
- How we determine the best artist for a particular project
- Our booking and deposit process
- Studio policies
- Our client communication standards
- Our lead follow-up process
- When you can make a decision independently and when something should be escalated
Our goal is for you to become increasingly confident and independent as you learn the business.
Eventually, when an inquiry comes in, we want you to be able to understand the request, gather whatever information is missing, determine the appropriate quote or next step, recommend the right artist, and move the client toward booking without needing management to walk you through every inquiry.
Responsiveness Matters
One of the primary reasons we’re hiring for this position is to improve how quickly and consistently we respond to potential clients.
We understand that not every inquiry can be answered immediately or within one hour. However, during your scheduled working hours, responding to new leads and active booking conversations should be a priority.
We don’t want interested clients waiting unnecessarily when someone is available to help them.
Success in this position isn’t simply answering messages — it’s keeping conversations moving.
That means:
- New inquiries are acknowledged quickly during coverage hours
- Client replies don’t sit unnecessarily
- Quotes are sent efficiently once the necessary information is available
- Follow-ups happen consistently
- Every lead has a clear next step
- No qualified inquiry is forgotten because it disappeared into an inbox
We’ll work together to establish realistic response-time and follow-up goals based on inquiry volume and your scheduled coverage.

- Is comfortable discussing pricing and helping convert inquiries into bookings
- Understands the importance of proactive follow-up
- Knows when to follow an established process and when something needs to be escalated
- Is comfortable receiving feedback and improving quickly
- Takes ownership of responsibilities without needing constant reminders
Previous experience in customer service, sales, appointment setting, lead management, virtual assistance, beauty, salons, med spas, tattoo studios, or another appointment-based business is highly preferred.

Schedule
This is a part-time remote position of approximately 25 hours per week.
Our studio and clients are based in California, so you must be comfortable working a schedule that provides meaningful overlap with Pacific Time (PT).
Because responsiveness to client inquiries is an important part of this position, we’ll work together to establish scheduled coverage during the hours when our clients are most active.
Exact working hours will be discussed during the interview process.
Compensation
$5–$7 USD/hour, depending on experience.
We’re willing to pay toward the higher end of the range for candidates with particularly strong experience in customer service, sales, appointment setting, lead management, or similar client-facing work.
There is potential for additional hours, increased responsibility, and compensation growth as you become more experienced and independent in the role.
