Position Overview:
This role exists to keep the execution engine of the organization running. The Executive Business Partner & Project Manager sits inside the President and CEO's meeting cadence, owns follow-through on every action item across the business, and provides the calendar and scheduling backbone that keeps both executives' time in sync. Success looks like nothing falling through the cracks: every decision reaches a documented conclusion, every open loop is tracked to closure, and every meeting opens with a clear readout of what's done, what's pending, and what's overdue.
Key Responsibilities:
- Schedule and host the recurring business and functional leadership meeting cadence for the President and CEO, serving as an embedded partner in day-to-day operations
•Review meeting transcripts and recordings for accuracy and clarity on follow-up items and open action items
•Assign every action item to a named, accountable owner immediately following each meeting, and proactively follow up with owners between meetings to confirm status before it's due
•Drive follow-up and decisions to specific, documented conclusions rather than leaving items open-ended
•Codify outcomes into a clear record of what was d ---------- versus what was noted, and carry that record forward into the next recurring meeting for continuity
•Open each meeting with a status readout covering closed items, open loops, and anything past due
•Provide calendar and scheduling support for the President and CEO to prevent conflicts and eliminate overlap
•Coordinate cross-functionally between executive leadership and the development/operations teams, and support the transition of legacy operating practices into AI-supported workflows
•Partner with product managers and cross-functional leaders across the business to align priorities and drive follow-through, extending beyond the immediate development team.
•Balance strategic and tactical execution — operate at the level of executive intent while also driving the granular, day-to-day follow-through needed to close items out.
•Exercise discretion and sound judgment when handling confidential or sensitive business information encountered through leadership meetings and communications.
•Represent executive leadership's priorities and intent when following up with stakeholders, ensuring alignment without requiring constant direct input.

Required Qualifications:
- Years of experience: 7+ years in a senior operating, project management, chief of staff, or executive business-partner role
- Industry background: Experience directly supporting C-suite or founder-level executives in a fast-moving business environment; healthcare/compliance exposure a plus, not required
- Technical skills: Microsoft Office/Google Workspace, calendar management tools, project/task tracking software, and comfort working with AI-based meeting and transcription tools
- Education: Bachelor's degree preferred; equivalent experience accepted
- Demonstrated ability to balance strategic thinking with tactical, detail-level execution
- Strong executive presence and communication skills, with experience interacting directly with senior leadership
- High discretion and sound judgment handling confidential information
- Comfortable operating with autonomy and ambiguity, driving outcomes without close supervision
- Highly diligent and precise in documentation and follow-through, with clear written and verbal communication of decisions and outcomes
- Anticipatory mindset — proactively thinks ahead of what leadership needs and drives items forward rather than waiting to be directed
Nice-To-Have:
- Prior experience in a Chief of Staff role at a growing or founder-led company
- Familiarity with AI-driven operating tools and workflow automation
Compensation & Benefits:
- Salary starts at: $18/hr (commensurate of experience)
- Permanent work-from-home
- 40 hours per week, aligned with U.S. business hours (CST, graveyard shift).
- Fixed weekends off (Saturday & Sunday)
- Work Anniversary Bonus
- No work with pay on US Holidays
- Paid Leaves after 6 months of employment
Basic Technical Requirements:
