About the Role
We are seeking a highly organized, proactive, and detail-oriented Personal Assistant to support our CEO, Olly Arch. In this role, you will serve as a trusted extension of the CEO, ensuring that day-to-day professional and personal operations run smoothly and efficiently.
The ideal candidate is someone who anticipates needs, communicates clearly and kindly, and operates with a "Design the Play" mentality—always coming prepared and aware of all moving pieces. You will manage communications, ensure critical business tasks and agreements are completed on time, and handle personal lifestyle support so the CEO can focus entirely on high-impact work.

To succeed in this role, the assistant must align with five core principles. First, you must protect the CEO's time by filtering all inbound requests and prioritizing what is truly important. Second, calendar efficiency is paramount; you must be clear, committed, and always include context. Third, every correspondence should be answered clearly and kindly, showing appreciation for the response whether it is a 'yes' or a polite decline. Fourth, you must "Design the Play" by being preemptive and coming prepared for all moving pieces. Finally, prioritizing revenue is essential—tasks should be ordered based on what will generate the biggest outcome, as making or saving money is the ultimate priority.
Key Responsibilities
Communication Management
Managing the CEO's communications is a critical daily function. You will process the CEO's inbox twice daily, aiming for Inbox Zero by 10 AM EST and 5 PM EST. This involves filtering inbound requests, tagging email s into the appropriate categories (Personal, Sales & External, Internal, Hiring, Legal, Travel, Events, and Financial), and responding on the CEO's behalf using established templates. A strict one-day turnaround is expected for initial email responses, resolutions, online orders, and payment notifications. You will also send end-of-day updates to keep the CEO informed of any unaddressed items.
Business Operations & Task Management
You will be responsible for ensuring that key business tasks are completed on time and nothing falls through the cracks. This includes tracking and following up on agreements, contracts, and legal documents to ensure they are signed and executed promptly. You will maintain a daily to-do list, manage action items fro ---------- etings, and coordinate with internal tea ---------- mbers and external contacts on the CEO's behalf. Staying informed about key business projects and deadlines is essential so you can proactively flag issues and keep the CEO updated.
Personal & Lifestyle Support
You will handle a range of personal tasks to ensure the CEO maintains a balanced and well-supported lifestyle.

Nutrition
Order daily lunch and dinner, selecting natural food options (e.g., Pura Vida, Just Salad) with simple ingredients (chicken, steak, broccoli, eggs) while avoiding seed and vegetable oils.
Household Management
Coordinate cleaners twice a week for apartment cleaning, laundry, and ironing, utilizing local services like the NOON app when the CEO is in Dubai.
Financial Monitoring
Handle company and personal purchases, manage gifting for clients, friends, and family, and monitor expenses and budgets related to the CEO's activities.
Requirements
The successful candidate will have proven experience as a Personal Assistant or Executive Assistant supporting C-level executives. Exceptional organizational and time-management skills are required, along with strong written and verbal communication abilities to draft professional correspondence and confidently respond on behalf of the CEO. You must be highly proficient in Google Workspace (Gmail, Calendar, Drive, Docs) and comfortable managing sensitive documents, agreements, and financial information. Above all, you must be a proactive problem-solver who handles sensitive information with the utmost discretion and anticipates issues before they arise.
Compensation
This role offers a base salary of $800 USD per month, with on-target earnings (OTE) ranging from $1,000 to $1,200 USD per month inclusive of performance-based incentives.
