Online Retail Operations Coordinator

We’re looking for a highly proactive and organized Online Retail Operations Coordinator to become a key support partner for a growing consumer brand company.

This role is ideal for someone who enjoys building structure, managing moving parts, and improving how things get done. You’ll take ownership of retail operations, inventory coordination, retailer communication, and internal processes while also supporting sales growth initiatives and AI-powered workflows.

The right person is someone who can operate independently, thinks critically, enjoys solving problems, and can use tools like AI to make everyday business processes faster and more efficient.

What You’ll Do

• Own day-to-day operational tasks that keep retail accounts running smoothly
• Manage purchase orders, inventory tracking, and distributor coordination
• Prepare and maintain operational documents including invoices, packing lists, bills of lading (BOLs), and shipping documentation
• Coordinate with manufacturers, distributors, and retail partners to ensure accurate and timely order fulfillment
• Manage product information updates including SKUs, UPCs, packaging details, and retailer-specific requirements
• Maintain inventory records, operational trackers, and retail documentation to ensure data remains accurate and up to date
• Identify opportunities to improve workflows by leveraging AI and automation tools
• Handle ad hoc operational and administrative tasks to support day-to-day business needs
• Maintain retailer databases and lead lists while researching category managers and retailer contacts
• Support new product submissions, retailer outreach, and follow-up activities
• Manage email outreach campaigns and monitor responses using tools such as Instantly
• Use AI tools, especially Claude, to improve workflows, automate repetitive tasks, and solve operational challenges
• Use AI design tools and other creative tools to create and update packaging, product assets, and social media posts based on existing design direction and brand guidelines
• Review AI-generated content to ensure it aligns with brand standards and retailer requirements

What We’re Looking For

• Experience in retail operations or a similar operations coordination role, including purchase orders, inventory tracking, retailer coordination, and operational documentation
• Experience supporting retailers, distributors, manufacturers, or consumer product businesses is preferred
• Highly comfortable using AI tools, especially Claude, to improve workflows and automate repetitive tasks
• Comfortable using AI design tools or other creative tools to turn existing design direction into packaging updates, social media posts, and other branded assets
• Strong organizational skills with the ability to manage multiple priorities in a fast-paced startup environment
• Excellent attention to detail
• Strong written and verbal English communication skills
• Comfortable managing operational trackers, inventory records, and business documentation
• Must have a stable internet connection and reliable work setup
• Must be available to work during US Eastern Time business hours

Nice to Have

• Experience with email outreach tools such as Instantly
• Experience improving or automating operational processes using AI

Salary and Benefits:

• Base salary: 55k php / month
• Paid Time Off and Paid Holidays
