Remote | 40 Hours per Week | Long-Term Position

ABOUT THE ROLE

We are looking for a reliable, organised, and detail-oriented Virtual Assistant to support two e-commerce businesses operating in the following niches:

• UK fashion e-commerce and dropshipping
• Premium handmade rugs and interior design

Your main responsibility will be managing customer service, Shopify orders, delivery tracking, and supplier coordination for the fashion business.

Once priority operational tasks are completed, you will create, schedule, and optimise Pinterest content for the handmade rug and interior-design niche.

This is a full-time, long-term position for someone who follows instructions carefully, communicates professionally, and takes responsibility for resolving tasks properly.

MAIN RESPONSIBILITIES

Customer Service

• Check the customer-service inbox several times each working day
• Read the complete customer conversation before responding
• Check Shopify and courier tracking before answering order questions
• Draft clear, friendly replies in natural British English
• Answer product, sizing, delivery, and order-status questions
• Follow up on delayed, missing, damaged, or incorrect orders
• Communicate calmly and professionally with unhappy customers
• Maintain an organised record of unresolved cases
• Escalate sensitive cases when approval is required

Shopify and Order Operations

• Find and verify customer orders in Shopify
• Check fulfilment and courier tracking information
• Identify incorrect sizes, colours, addresses, or order details
• Prepare exchange and replacement requests
• Monitor outstanding orders until they are resolved
• Identify recurring fulfilment or delivery problems
• Keep internal tracking records accurate and updated

Supplier Coordination

• Communicate with suppliers through WhatsApp or email
• Prepare clear replacement and order-correction requests
• Include the order number, customer, product, problem, and required action
• Follow up on unfulfilled orders and missing tracking numbers
• Verify that replacements and corrections have been processed
• Clearly identify cases caused by supplier mistakes
• Maintain a list of outstanding supplier actions

Pinterest and Content Support

• Create attractive pins using approved product photography and templates
• Write keyword-focused Pinterest titles and descriptions
• Schedule and publish pins consistently
• Organise and maintain relevant Pinterest boards
• Link each pin to the correct product, collection, or article
• Repurpose existing product photography into different pin variations
• Research relevant keywords and content ideas in the handmade rug and interior-design niche
• Create content around interior inspiration, rug styling, craftsmanship, and product details
• Track impressions, saves, outbound clicks, and top-performing pins
• Prepare a simple weekly Pinterest performance report
• Suggest new content ideas based on results

Pinterest content must feel premium, tasteful, authentic, and suitable for the interior-design market. Quality is more important than producing a high volume of repetitive content.

REQUIRED SKILLS

• Excellent written English
• Previous e-commerce customer-service experience
• Practical experience using Shopify
• Comfortable checking courier tracking websites
• Experience using Gmail and WhatsApp
• Experience with Pinterest
• Familiarity with Canva or another design platform
• Strong attention to detail
• Good organisation and task-management skills
• Reliable computer and internet connection
• Ability to follow detailed procedures
• Ability to work independently and provide regular updates
• Ability to keep information from two businesses clearly separated

Experience with UK customers, fashion e-commerce, dropshipping, home décor, rugs, or interior design is an advantage.

IMPORTANT WORKING RULES

During the training period, all customer responses must be saved as drafts for approval.

Without approval, you must not:

• Issue refunds
• Cancel or modify orders
• Promise compensation
• Approve replacements or exchanges
• Make important changes in Shopify
• Publish unapproved Pinterest designs
• Share confidential business or customer information

HOURS AND COMPENSATION

• Full-time position: 40 hours per week
• Monday-to-Saturday availability required
• Agreed coverage during UK business hours
• One-month paid probation period
• Starting salary: up to $400 USD per month
• Performance and salary review after successful probation
