QuickBooks Bookkeeper (Job Costing Experience Preferred)

About the Role

We're looking for an experienced QuickBooks Bookkeeper who enjoys solving problems—not just entering transactions.

This role is ideal for someone who can investigate QuickBooks issues, improve job costing, streamline workflows, and help build reliable accounting processes. The work involves supporting project-based businesses that rely on accurate financial reporting, efficient workflows, and practical accounting solutions.

What You'll Be Doing

The initial focus of this role will be reviewing and resolving QuickBooks issues that affect financial reporting, job costing, and day-to-day accounting operations.

QuickBooks Review & Troubleshooting

• Review why project profitability differs between QuickBooks reports.
• Investigate labor and payroll costing to determine why job costs appear overstated or duplicated.
• Review inventory and non-inventory item setup and recommend any necessary corrections.
• Determine whether issues are caused by QuickBooks settings, workflow errors, or platform limitations.
• Troubleshoot QuickBooks Workforce issues and recommend practical solutions or workarounds.

Job Costing

• Review how regular time and overtime are reflected in project costs.
• Identify the most reliable QuickBooks reports for measuring project profitability.
• Help ensure labor, overtime, materials, and inventory costs are reflected accurately.
• Develop consistent guidelines for recording project costs.

Estimates & Invoicing

• Review existing estimate and invoice workflows.
• Recommend ways to reduce duplicate data entry.
• Help improve the process of converting estimates into invoices.
• Support more efficient and timely invoicing.

Process Improvement & Documentation

• Create clear SOPs for:

Time tracking
Overtime handling
Estimate entry
Invoice processing
Job costing reviews
Inventory and material management

• Identify manual processes that can be improved or standardized.
• Recommend practical workflow improvements that improve consistency and efficiency.

Ongoing Accounting Support

• Investigate accounting and QuickBooks-related issues as they arise.
• Recommend solutions instead of simply identifying problems.
• Help improve accounting workflows over time.
• Communicate findings and recommendations clearly.

What We're Looking For

The ideal candidate has:

• At least 3 years of hands-on experience using QuickBooks Online.
• Strong bookkeeping knowledge and understanding of accounting fundamentals.
• Experience with job costing or project-based businesses.
• Experience working with payroll, estimates, invoices, and inventory within QuickBooks Online.
• The ability to investigate discrepancies and identify root causes.
• Strong analytical and problem-solving skills.
• Excellent written and verbal English communication.
• A proactive mindset with a continuous improvement approach.

Nice to Have

• Experience with construction, electrical, plumbing, HVAC, or other field service businesses.
• Experience with QuickBooks Time (TSheets).
• Experience with QuickBooks Workforce.
• Experience documenting accounting processes or creating SOPs.
