Job Overview
?We are seeking an analytical, tech-savvy, and meticulously organized Real Estate Data & Operations Virtual Assistant to support our U.S. property acquisition pipeline.
?In this role, you will serve as the engine of our data infrastructure. You will be responsible for researching, extracting, cleaning, and managing distressed property records (pre-foreclosures, default filings, and tax records) from U.S. county databases and real estate intelligence platforms. You will also manage lead enrichment, skip-tracing workflows, and maintain structured databases to ensure our property inventory is always clean, current, and ready for review.
?Key Responsibilities
?Data Sourcing & Research: Navigate U.S. county clerk/recorder websites, public record databases, and property portals to identify and extract pre-foreclosure filings, default notices, and motivated seller records.
?Data Cleansing & Structuring: Audit raw datasets for accuracy, verify property details and parcel numbers (APNs), calculate baseline equity metrics, and organize information cleanly inside Google Sheets, Airtable, or our CRM.
?Skip-Tracing & Lead Enrichment: Utilize platform tools and digital directories to track down and append verified owner contact details (phone numbers and email addresses).
?Pipeline Tracking: Monitor the status of active leads, update pipeline stages daily, and flag high-motivation prospects for direct outreach or video handoffs.
?Buyer Database Maintenance: Assist in updating and organizing our cash buyer directory based on specific investment criteria, asset classes, and geographical tags.
?Administrative Support: Handle basic document formatting, organize digital file repositories, and prepare routine data summaries or research reports.
?Qualifications & Hard Skills
?Experience: Minimum 1 to 2 years of professional experience as a Virtual Assistant, Data Researcher, or Lead Generation Specialist—ideally within the U.S. Real Estate or Property Management sector.
?Spreadsheet Mastery: Advanced working knowledge of Google Sheets / Microsoft Excel (using filters, formatting clean layouts, tracking formulas, and managing large datasets).
?Research Proficiency: Exceptional internet research skills with the ability to quickly and accurately navigate unfamiliar U.S. county or public property portals.
?Communication: Professional, clear, and fluent written and spoken English.
?Attention to Detail: Absolute precision when dealing with property addresses, financial figures, legal descriptions, and data records.
