Position Overview
We are a progressive, growing mid-tier accounting firm based in Brisbane, Australia. We are currently looking to hire a Payroll Officer in a full-time work-from-home role.
The Payroll Officer is responsible for preparing and supporting the overall management of payroll processing within the Business Solutions Team. This work-from-home role, based in the Philippines, ensures payroll accuracy, compliance with tax and labour laws, and efficient payroll operations for multiple clients.
The role requires extensive payroll experience, strong analytical skills, and the ability to work independently while proactively supporting team objectives.
As a Payroll Officer, you will provide guidance and support to the team, including reviewing and ensuring the accuracy of payroll processed by other tea ---------- mbers. This role requires a high level of expertise and the ability to mentor intermediate tea ---------- mbers, ensuring that all payroll operations are conducted efficiently and in compliance with relevant Australian regulations.
Additionally, this position demands a commitment to data security, client service excellence, process improvement, and adaptability in a dynamic, remote work environment.
Key Responsibilities
Payroll Processing and Management
- Process end-to-end payroll for multiple Australian clients across multiple states, ensuring accuracy and timeliness.
- Maintain payroll records, including salaries, benefits, tax deductions, and leave entitlements.
- Prepare reconciliations, supporting workpapers, and support submissions where applicable for PAYG, Superannuation, Payroll Tax, and other statutory requirements.
- Support and manage monthly, quarterly, and yearly payroll reconciliations, reports, and audits.
- Support the implementation and improvement of payroll processes to enhance efficiency and accuracy.
- Ensure the secure handling and storage of confidential payroll data in compliance with company and legal requirements.
- Maintain proficiency in payroll software and cloud-based systems and assist with troubleshooting basic technical issues in a remote environment.
- Prepare and analyse payroll reports for management and clients, identifying trends, discrepancies, or areas for improvement.
- Generate custom payroll or compliance reports as requested.
Compliance and Regulatory Adherence
- Stay updated with changes in payroll regulations and ensure best practices are followed.
- Ensure compliance with Australian payroll regulations, tax laws, and labour laws.
Collaboration and Teamwork
- Collaborate with internal teams and clients to resolve payroll discrepancies and inquiries.
- Provide feedback, guidance, and collaborate with other payroll specialists and tea ---------- mbers as needed.
- Review and Quality Assurance: Conduct thorough reviews of payrolls processed by other tea ---------- mbers to ensure accuracy and compliance with payroll regulations. Provide constructive feedback to enhance the quality of payroll processing, supporting a collaborative team structure.
- Cross-Training and Team Support: Engage actively in cross-training activities to maintain and enhance team capabilities. Support and mentor Intermediate tea ---------- mbers to develop their payroll skills and knowledge.
- Planning and Preparation Support: Participate in planning and preparation activities to ensure smooth workflow operations. This includes attending meetings to develop and implement workflow plans that adhere to compliance and payroll-related deadlines, ensuring timely and accurate payroll processing.
- Contribute to the creation and updating of payroll process documentation and training materials for the team.
- Communicate clearly and professionally with clients, colleagues, and management using remote collaboration tools (e.g., Teams, Kudosity).
End of Financial Year (EOFY) Activities
- Prepare Payroll Tax and WorkCover reconciliations and supporting workpapers for clients with multiple locations across multiple Australian states.
- Review workpapers prepared by other tea ---------- mbers to ensure accuracy and compliance.
- Perform end-of-year payroll reconciliations and support clients to complete payroll finalisation steps.
- Support other ad hoc payroll year-end activities.
Client Service & Relationship Management
- Provide exceptional customer service to clients, addressing complex payroll queries and concerns promptly and professionally.
- Build and maintain strong professional relationships with clients, ensuring their payroll needs are met.
- Escalate complex payroll, compliance, or system issues to Payroll Team Leader or external advisors as required. Complete research to support queries.
Continuous Improvement & Innovation
- Proactively identify opportunities for process improvement and automation to enhance payroll accuracy and efficiency.
- Incorporate feedback from audits, client reviews, or internal assessments to enhance payroll processes.
- Maintain business continuity by ensuring payroll operations continue during disruptions (e.g., internet outages, system downtime).
Professional Development
- Maintain current knowledge of changes to Australian legislation and regulations affecting payroll operations.
- Participate in relevant webinars and online training sessions to enhance skills and expand knowledge.
- Maintain Xero Payroll and Advisor certifications, adhering to Xero’s certification requirements.
Qualifications & Experience
- Proven experience as a payroll specialist, with at least 4-5 years of experience in payroll processing.
- Proficiency in payroll software such as Xero Payroll, MYOB, QuickBooks, or similar platforms.
- Strong knowledge of Australian payroll regulations, tax compliance, and labour laws.
- Excellent analytical and problem-solving skills.
- High level of accuracy and attention to detail.
- Ability to manage multiple payroll clients and meet strict deadlines in a remote work environment.
- Strong written and verbal communication skills in English.
- Diploma or degree in accounting, finance, human resources, or a related field (preferred).
- Experience working with international teams or clients is an advantage.
- Familiarity with cloud-based collaboration tools (e.g., Slack, Teams, Zoom) and secure file transfer protocols.
