Business Operations Manager VA (AI & E-Commerce focus)

We're on the lookout for an experienced Business Operations Manager (VA) who's worked hand-in-hand with CEOs or founders of small to mid-sized businesses. You've got a solid track record of managing day-to-day operations, keeping things running smoothly, and handling a variety of admin and coordination tasks with ease. You're also someone who's genuinely curious about AI — you test new tools, build workflows, and stay ahead of what's coming.

You're probably someone who:

• Has great attention to detail and always delivers top-notch work
• Knows how to manage your time and hit deadlines
• Speaks and writes English really well and isn't shy about proactive communication
• Thrives in a fast-paced, dynamic environment where you wear many hats
• Has worked with DTC or e-commerce brands before
• Is comfortable working directly with US-based clients and operators

What You'll Be Doing:

You'll be the go-to person for keeping our operations on track. From creating systems and workflows to managing schedules and projects — you'll make sure everything's flowing efficiently.

• Run daily business operations
• Build, fine-tune, and document internal processes, SOPs, and playbooks
• Keep an eye on KPIs and help us hit our goals
• Manage calendars, meetings, and appointments for the CEO/founder
• Coordinate schedules for board meetings, all-hands, and executive offsites
• Prepare and review board decks and reports
• Draft email s, documents, and general correspondence
• Keep spreadsheets and databases up to date
• Handle demo account preparation — mostly data entry and web research in our internal system (e.g., finding social accounts linked to eCommerce brands and checking data completeness)
• Manage travel coordination for the executive team
• Lead trade show coordination and prep
• Own projects from start to finish, ensuring smooth execution and timely delivery
• Maintain excellent communication with customers, clients, and partners
• Use AI tools daily for content, research, and workflow automation
• Support TikTok Shop management, Shopify admin, and cold email campaigns as needed

Bonus if you have experience with: TikTok Seller Center, TikTok Ads Manager, ClickUp, Slack, Shopify, Klaviyo, Make, Zapier, n8n, Canva, or any AI content tools.
