Mountain View Headache and Spine is a specialty practice dedicated to treating patients living with chronic headache, migraine, and spine-related pain conditions. Our patients often arrive after long, frustrating journeys through the healthcare system, so the tone set at the front desk matters as much as the care delivered in the exam room. We are looking for someone who understands that.

The Role

We're hiring a Front Desk Coordinator / Patient Scheduler to serve as the first point of contact for our patients — by phone, through our online scheduling platform, and through text or email . This is a high-touch, detail-driven role that keeps the clinic running on time and keeps patients informed and at ease.

What You'll Do

  • Manage the online scheduling system: monitor incoming requests, confirm and adjust appointments, and keep provider calendars accurate and full
  • Answer, triage, and return patient phone calls and portal messages promptly and professionally
  • Greet and check in patients, verify demographics
  • Enter and maintain accurate patient information in our EMR
  • Verify insurance eligibility and benefits; assist with prior authorization paperwork as needed
  • Coordinate referrals, imaging orders, and follow-up visits with outside offices
  • Manage waitlists, reschedules, and cancellations to minimize gaps in the schedule
  • Prepare charts and confirm records are complete ahead of each visit

What We're Looking For

Required

  • Fluent English communication skills, both verbal and written — you'll be speaking with patients, providers, and insurance representatives all day
  • Working knowledge of electronic medical record (EMR) systems, preferably EclinicalWorks, and comfort learning new software quickly
  • Strong organizational skills and genuine attention to detail; you catch the wrong date of birth before it becomes a problem
  • A calm, patient, empathetic phone manner — many of our patients are in pain and under stress
  • Ability to juggle a busy phone line and an inbox
  • High school diploma or equivalent

Preferred

  • Bilingual (English/Spanish) is a plus
  • Prior experience in neurology, pain management, or a specialty practice

Schedule

Monday–Friday, [8:00 AM – 4:00 PM]. No nights, no weekends, no on-call.
