About the Role

Tier1 Energy Consulting is a US-based energy consulting agency. We book qualified appointments for our clients through a trained cold-calling setter team. I am the owner and I currently run every part of the operation myself. I want to hand the entire operation to one person so I can focus only on closing.

This is not an assistant role. You are running the business day to day.

WHAT YOU WILL OWN

LEAD GENERATION & LIST BUILDING

Pull target zip codes from our territory manager, sorted by income level

Search properties in Propstream using our set filters (owner occupied, occupied, single family residential, not on market)

Build lists to a 20,000-record minimum, then skip trace them

Export contacts, clean and dedupe them, split multi-phone/multi -email records into one clean row per contact

Import the finished list into GoHighLevel (GHL) and confirm field mapping is correct

Make sure every lead carries the right source tag before it hits the dialer

DAILY OPERATIONS

By 10am: check the GHL dashboard, fill in the Daily Pulse on our Notion KPI Dashboard, confirm every setter is logged in and dialing, confirm the day's appointments have confirmation texts and email s sent

Midday: spot check at least one live call per setter, fix any GHL or lead issues

By 7pm: confirm each setter logged their daily numbers, review the end-of-day summary, and flag anything that needs attention tomorrow

Run our cold call and warm lead appointment confirmation sequences so show rate stays high

CALL QUALITY & QA

Listen to calls every week (2-3 per setter minimum) and score them against our 6-point QA rubric: opening, qualifying, pitch clarity, objection handling, booking mechanics, tone and energy

Flag notable calls in GHL and log the 5-10 that are worth training from in our Notion Call Library with a written coaching note

Any score below the pass line triggers a coaching session within 48 hours — you run it

COACHING & TEAM MANAGEMENT

Monday 8:00 AM group kickoff (30 min): last week's numbers, wins, the one theme for the week, commitments, blockers

Thursday 1:1s (30 min each): walk their numbers, one win, one specific coaching point, their commitment for the rest of the week

Log every coaching note in Notion

Handle setter onboarding and offboarding using our existing SOPs

Escalate and document underperformance per our coaching SOP

NOTION TRACKING & REPORTING

Own the KPI Dashboard: dials, conversations, appointments set, show rate, close rate, per setter and per source

Input weekly KPI results and keep the per-source conversion table current

Send me a clean weekly summary of the numbers so I only have to look at one page

SYSTEMS & MARKETING UPKEEP

Keep GHL healthy: pipelines, tags, calendars, workflows, call recording on for every sub-account

Execute our tech failure / GHL outage protocol when something breaks

Monday Facebook Ads maintenance check: frequency, cost per lead, unique CTR, lead form results rate, and whether the leads actually booked and closed

Follow our compliance rules for energy and cold calling at all times

Update and improve our SOPs as processes change

WHAT SUCCESS LOOKS LIKE

The team hits their appointment targets without me being in the room

I open Notion and the numbers are already there, accurate and current

Problems get solved before I hear about them

I only spend my time on closing calls

REQUIREMENTS

Must have:

2+ years managing a remote sales, appointment setting, call center, or BPO team

You have personally coached callers and improved their numbers, not just tracked them

Hands-on GoHighLevel (GHL) experience: contacts, pipelines, tags, calendars, workflows, imports, call recordings. This is not optional.

Strong Notion skills — databases, dashboards, keeping data clean and current

Comfortable with spreadsheets and CSV cleanup (dedupe, split, map fields for import)

Excellent written and spoken English, clear and confident on video calls

Able to work US business hours, starting with a Monday 8:00 A ---------- eting (US time)

Reliable high-speed internet, a working computer, and a quiet place to take calls

Extremely organized and self-directed — you follow an SOP exactly, and you notice when the SOP is wrong

Nice to have:

Experience with Propstream or any real estate / property data pull and skip tracing

Cold calling experience yourself (you have made the calls, not just managed them)

Facebook Ads Manager familiarity — reading frequency, CPL, CTR

Familiarity with US energy, solar, home services, or a similar high-volume outbound offer

WHO THIS IS NOT FOR

Anyone who has never held a team accountable to a number

Anyone who is juggling three other clients

DETAILS

$400 USD per month to start, paid twice monthly. Raises tied to team performance and how much you take off my plate.

Full time, 40 hours per week, long term. I am looking for someone to grow with the company, not a short project.

Paid training period while you learn our SOPs.
