Position Summary
SpartanX Solar is seeking a detail-oriented Quality Control (QC) / HOA Specialist to ensure every residential solar project is installation-ready by performing comprehensive quality reviews and managing Homeowner Association (HOA) approvals.
This role serves as a critical checkpoint before projects move into ready to schedule solar installation by validating engineering documentation, financing information, utility approvals, and HOA requirements. The ideal candidate is highly organized, process-driven, and comfortable working across multiple software platforms while maintaining strict service level agreements (SLAs).
The QC / HOA Specialist plays a direct role in reducing project delays, preventing installation issues, and delivering an exceptional homeowner experience.
Primary Responsibilities
Quality Control (QC)
Perform comprehensive quality reviews for all assigned residential solar projects before installation.
Responsibilities include:
Complete QC reviews using Spartan's proprietary QC Tool
Verify financing information within Lightreach
Review engineering plans and stamped CAD drawings
Validate Aurora production designs and system information
Verify utility and interconnection status
Ensure all required project documentation is complete
Confirm project adders and installation requirements
Review tree removal and reroof requirements
Verify ESC installation information
Confirm HOA information is accurate
Review battery information and financing details
Ensure Aurora production matches engineering plans
Validate system size, annual production, and equipment
Identify and document administrative stipulations
Fail projects that do not meet QC standards
Document all findings accurately in company systems
HOA Administration
Manage the HOA approval process from submission through approval.
Responsibilities include:
Research HOA requirements
Identify HOA management companies
Gather architectural guidelines and submission requirements
Prepare HOA submission packages
Submit applications through HOA portals, email , or management companies
Upload all documentation into SubHub
Maintain accurate HOA notes and communication logs
Follow HOA follow-up cadence (Monday / Wednesday / Friday)
Obtain HOA estimated approval dates
Coordinate homeowner signatures when required
Request engineering redesigns when HOA modifications are needed
Resubmit revised packages
Upload final HOA approvals
Update HOA status within SubHub
Notify Project Managers once approval has been obtained
Project Coordination
Work closely with multiple departments including:
Project Management
Engineering
Sales
Permitting
Homeowners
HOA Management Companies
Financing Partners
Maintain timely communication to prevent project delays.

Experience with Aurora or similar solar design software preferred
Familiarity with financing platforms such as Lightreach is a plus
