Home Care Scheduling Coordinator (Remote - Philippines)

Salary: $250 USD / week
Schedule: MON-FRI (On-call 24/7)

We are seeking a highly organized and dependable Scheduling Coordinator to join our operations team. This role is responsible for coordinating caregiver schedules, managing daily staffing needs, responding to schedule changes, and ensuring every client receives uninterrupted care. The ideal candidate is calm under pressure, enjoys solving scheduling challenges, communicates professionally, and takes ownership of finding solutions. This is a fast-paced position where no two days are the same.

POSITION RESPONSIBILITIES:
Scheduling & Coordination:
- Build and maintain caregiver schedules for assigned clients.
- Coordinate recurring schedules for ongoing care.
- Process schedule changes accurately and efficiently.
- Match caregivers with clients based on availability, skills, location, and client preferences.
- Ensure all client visits are fully staffed and accurately scheduled.
- Review upcoming schedules to proactively identify and resolve coverage gaps.
Staffing & Shift Coverage:
- Respond to caregiver call-offs and last-minute schedule changes.
- Fill open shifts quickly by contacting available caregivers.
- Coordinate emergency staffing to prevent missed visits.
- Monitor caregiver availability and maintain updated availability records.
- Minimize overtime while maintaining adequate staffing coverage.
- Escalate staffing concerns when appropriate.
Communication:
- Serve as a primary point of contact for caregivers regarding scheduling.
- Communicate professionally with caregivers, clients, families, and internal tea ---------- mbers.
- Provide timely updates regarding schedule changes and staffing needs.
- Resolve scheduling concerns with professionalism and urgency.
- Maintain positive working relationships with caregivers while ensuring accountability.
Administrative Responsibilities:
- Maintain accurate scheduling records within our scheduling software.
- Document all scheduling changes and communication.
- Review schedules for conflicts, overlaps, and missing visits.
- Assist leadership with scheduling reports and operational tasks as needed.

Required Qualifications:
- Excellent English verbal and written communication skills.
- Minimum of 2 years of scheduling, dispatching, workforce coordination, or administrative experience.
- Strong organizational and time management skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Excellent problem-solving and critical-thinking abilities.
- Strong attention to detail with a high level of accuracy.
- Ability to remain calm and professional under pressure.
- Comfortable making outbound calls and communicating with caregivers throughout the day.
- Reliable high-speed internet and a quiet home office.
- Ability to work during Arizona business hours.

- Home Care, Home Health, Hospice, Healthcare, or Senior Living.
- Workforce scheduling or staff coordination.
- Dispatching or logistics coordination.
- WellSky, AxisCare, ClearCare, AlayaCare, or similar scheduling software.
- GoHighLevel (GHL), CRM systems, or customer service platforms.
- Experience supporting U.S.-based healthcare organizations.
