About the Role

The Scheduling & Workforce Coordinator is responsible for coordinating staffing operations across Reliance Family Care Services' Residential, Home Care, and Home & Community Services divisions. This role ensures appropriate staffing coverage, continuity of care, and operational efficiency while supporting compliance with company policies and payer requirements. The Coordinator serves as the central point of coordination for workforce scheduling, staffing adjustments, electronic visit verification (EVV) oversight, and daily workforce communication in a fast-paced, 24/7 environment.

Job Responsibilities:

  • Develop, publish, and maintain staff schedules for Residential (Deputy), Home Care (HHA Exchange), and Home & Community Services.
  • Ensure appropriate staffing coverage across all service lines while minimizing overtime and maintaining continuity of care.
  • Respond promptly to call-offs, no-shows, vacations, emergencies, and other staffing changes by coordinating replacement coverage.
  • Review and adjust schedules based on client needs, authorized service hours, staff availability, and operational priorities.
  • Monitor Electronic Visit Verification (EVV) compliance and follow up on missed, incomplete, or exception visits to ensure timely resolution.
  • Review employee clock-ins and clock-outs for accuracy and investigate discrepancies with supervisors and staff.
  • Maintain accurate employee availability, schedule changes, shift swaps, and staffing records within scheduling systems.
  • Coordinate staffing for new admissions, discharges, schedule modifications, and temporary service changes.
  • Communicate scheduling updates promptly and professionally with employees, supervisors, clients, and leadership.
  • Generate routine staffing, overtime, and scheduling reports and identify trends requiring leadership attention.
  • Collaborate with Human Resources, Associate Directors, Field Supervisors, and Home Care leadership to support staffing needs and workforce planning.
  • Maintain confidentiality of employee and client information and perform other duties as assigned

Qualifications

  • High school diploma required; Associate's or Bachelor's degree preferred.
  • Minimum two (2) years of scheduling or workforce coordination experience, preferably in healthcare or human services.
  • Experience with Deputy, HHA Exchange, Sandata, or comparable scheduling/EVV systems preferred.
  • Strong organizational, communication, and customer service skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficient in Microsoft Office (Outlook, Excel, Word, and Teams).
  • Strong attention to detail, critical thinking, and problem-solving skills
