A new and growing United States-based home health agency that has been operational for less than one year is seeking an experienced, organized, and dependable Virtual Home Health Intake & Staffing Coordinator.
We are looking for a skilled professional who can help develop and manage efficient intake and staffing processes while supporting the continued growth of the agency.
The ideal candidate will have direct experience working with a United States-based home health agency and understand the importance of timely referral processing, accurate documentation, regulatory compliance, effective communication, and appropriate patient staffing.
This position requires someone who is proactive, detail-oriented, professional, efficient, and capable of managing multiple priorities in a fast-paced virtual environment.
Required Work Schedule
The selected candidate must be available to work during the agency’s regular business hours in the California Pacific Time Zone.
Applicants must be able to consistently work the required California schedule, including during seasonal changes between Pacific Standard Time and Pacific Daylight Time.
Key Responsibilities
- Receive, review, and process new home health referrals.
- Confirm that referral packets contain the required clinical and administrative documentation.
- Assist with insurance verification, eligibility, and authorization processes.
- Coordinate Start of Care scheduling.
- Communicate with patients, families, referral sources, clinicians, and agency leadership.
- Assign qualified nurses, therapists, home health aides, and other clinicians based on patient needs, location, availability, and ordered services.
- Maintain accurate intake, referral, pending admission, scheduling, and staffing records.
- Track outstanding physician orders, face-to-face documentation, clinical records, authorizations, and other required documents.
- Follow up with hospitals, physician offices, insurance companies, patients, families, and field clinicians.
- Manage and organize intake and staffing workflows for a small, growing agency.
- Identify incomplete referrals, staffing barriers, scheduling delays, and potential compliance concerns.
- Promptly communicate unresolved issues to agency leadership.
- Participate in virtual meetings, staff communication, workflow improvement, and agency training.
- Maintain patient confidentiality and comply with HIPAA and company privacy requirements.
- Support a respectful, professional, and team-centered work environment.
Required Qualifications
- Previous experience with a United States-based home health agency is strongly preferred.
- Experience in home health intake, staffing, scheduling, insurance verification, authorization, or office operations is highly desirable.
- Experience working with a Medicare-certified home health agency is preferred.
- Understanding of home health referrals, physician orders, face-to-face documentation, insurance verification, authorizations, and Start of Care processes.
- Strong verbal and written English communication skills.
- Excellent organizational, follow-up, time-management, and problem-solving abilities.
- Ability to manage multiple referrals, staffing needs, deadlines, and competing priorities.
- Strong attention to detail and commitment to accurate documentation.
- Proficiency with email , spreadsheets, virtual meeting platforms, and electronic medical record systems.
- Ability to work independently while remaining responsive and accountable to the agency team.
- Reliable computer, secure high-speed internet connection, quiet workspace, backup internet, and backup power source.
- Ability to work a full-time schedule based on California Pacific Time.
Applicants with home health experience who need additional training on specific regulatory requirements may be considered if they demonstrate strong skills, professionalism, and the ability to learn quickly.

Compensation and Benefits
- Starting compensation of $10.00 USD per hour.
- Three paid holidays selected by the employee, subject to advance approval and staffing coverage.
- A December bonus equivalent to one month of regular base compensation, subject to satisfactory performance, active employment, and company policy.
- Paid vacation eligibility after completing one full year of service, in accordance with company policy.
- Eligibility for a compensation review after one year based on performance, attendance, reliability, increased responsibilities, and the financial performance of the company.
