About the Role
MeetBookkeepers is a US-based outsourced accounting firm. We are hiring a Controller to own the full accounting function for a premium wine retail client in New York.
This is a hands-on, single-account role responsible for the client’s financial operations from daily transaction processing through monthly financial reporting. The position includes full responsibility for accounts payable, bank and credit card reconciliations, inventory accounting, month-end close, cash monitoring, and financial statement preparation.
You will report to MeetBookkeepers, not directly to the client.
Responsibilities
- Perform daily bank reconciliations for three bank accounts and one credit card account in NetSuite.
- Own the complete accounts payable process, including reviewing invoices, entering bills, confirming coding and supporting documentation, resolving discrepancies, and preparing payment queues.
- Verify vendor information and payment instructions before payments are released.
- Monitor outstanding bills, payment due dates, vendor statements, credits, and aging reports.
- Investigate duplicate bills, altered payment instructions, unusual vendor requests, and other potential payment issues.
- Communicate with vendors and internal stakeholders to resolve invoice, payment, and documentation discrepancies.
- Maintain complete and accurate accounts payable records, including invoices, approvals, payment confirmations, and vendor documentation.
- Own the monthly close process, including journal entries, accruals, account reconciliations, and completion of the close checklist according to a fixed calendar.
- Prepare monthly financial statements, including the Profit and Loss Statement, Balance Sheet, and Cash Flow Statement, delivered on schedule and ready for review.
- Maintain inventory accounting integrity, including cost of goods sold, inventory valuation, shrinkage, adjustment entries, and reconciliation of the inventory subledger to the general ledger.
- Maintain the integrity of the NetSuite general ledger, including the chart of accounts, vendor and customer records, and subledger tie-outs.
- Monitor the client’s cash position daily and immediately flag potential liquidity concerns to firm management.
- Identify and correct posting errors, synchronization discrepancies, reconciliation differences, and process gaps without waiting to be asked.
- Maintain accurate accounting documentation and provide clear explanations for transactions, adjustments, reconciliations, and financial results.
- Communicate significant accounting issues, unusual transactions, payment risks, and unresolved discrepancies to firm management.
Requirements
- Expert-level NetSuite proficiency is non-negotiable. You must be fluent in the general ledger, accounts payable, subledgers, inventory modules, reconciliation tools, financial reporting, and saved searches. You will be asked to explain your NetSuite experience in detail.
- Five or more years of progressive accounting experience, including full ownership of a monthly close.
- Hands-on accounts payable experience, including invoice processing, vendor reconciliation, payment preparation, expense coding, and discrepancy resolution.
- Hands-on inventory accounting experience, including cost of goods sold, valuation methods, inventory reconciliation, and adjustment entries in a product-based business.
- Experience with liquor, wine, spirits, or beverage distribution businesses is strongly preferred. Familiarity with alcohol-industry purchasing and inventory practices is a significant advantage.
- Proven experience preparing complete financial statement packages, including cash flow statements.
- Strong attention to detail and the ability to identify errors, inconsistencies, duplicate transactions, and unusual payment activity.
- Excellent written and spoken English. You will communicate directly with firm management regarding financial matters.
- Reliable overnight availability, stable internet, and a backup power solution.
- Prior experience working at an outsourced accounting firm or BPO serving US clients is preferred.
