Alibaba Procurement & Supplier Communication Assistant

We are looking for a reliable and detail-oriented Alibaba Procurement & Supplier Communication Assistant to join our team.

Your primary responsibility will be communicating with Alibaba suppliers to collect quotations and shipping information for customer inquiries.

Responsibilities

• Contact Alibaba suppliers using product links provided by our team.
• Request product prices delivered to our Guangzhou warehouse.
• Obtain packing information, including:

Carton/crate dimensions (Length × Width × Height)
Gross weight
Number of cartons (when applicable)

• Ask for production lead times and Minimum Order Quantities (MOQ).
• Follow up with suppliers who have not responded.
• Keep supplier conversations professional and organised.
• Record all supplier quotations accurately in Google Sheets or Excel.
• Compare quotations when requested.
• Submit completed quotation reports on time.
• Perform other procurement and sourcing-related administrative tasks as assigned.

Requirements

• Excellent written English.
• Experience communicating with Alibaba suppliers is highly preferred.
• Strong attention to detail and organisational skills.
• Ability to work independently and manage multiple supplier conversations.
• Proficient in Google Sheets or Microsoft Excel.
• Reliable computer and stable internet connection.
• Professional attitude with good communication skills.

Preferred Qualifications

• Experience in procurement, purchasing, or sourcing.
• Knowledge of Alibaba, TradeManager, or international sourcing.
• Familiarity with EXW, FOB, and other Incoterms.
• Experience working with Chinese suppliers.
